The Administrative Assistant provides administrative and staff support services primarily to project teams and management of the company, with secondary support to additional functional areas, as necessary.

Essential Duties and Responsibilities

  • Reception – Manage incoming telephone calls, greet visitors, coordinate incoming/outgoing mail and deliveries
  • Organization, coordination and preparation of Project Specifications
  • Organization, processing and tracking of Shop Drawings/Submittals
  • Preparation/assembly of project deliverables, proposals and other assignments requested by Primera staff
  • Source, price and purchase office, equipment and kitchen supplies
  • Log, process and file Quality Assurance documents
  • Coordinate project archiving and off-site document storage
  • Perform and maintain project filing
  • Provide meeting support as needed (scheduling conference rooms, coordinating food, logistics)
  • Perform other duties and responsibilities as assigned


Required Knowledge, Skills and Abilities

  • Skilled in Microsoft Office: Word, Excel and Outlook
  • Working knowledge of Microsoft Access, MasterSpec and MasterWorks
  • Skilled in data entry for QMS database application
  • Skilled in data entry for Project Status 2K database application
  • Skilled in operation of office equipment including printers, copiers, and scanners
  • Knowledge of document filing, records processes, and departmental procedures
  • Ability to perform and complete assigned duties with minimal supervision
  • Ability to accept and understand direction from multiple sources and prioritize tasks accordingly
  • Ability to communicate effectively with other staff members
  • Ability to work with a focus on customer service


Education and Experience

  • 3-5 years’ experience in a similar position
  • High School Diploma
