The Administrative Assistant will support the organization with corporate administrative tasks. Supports management and various teams within the organization with calendar management, travel preparations, greeting visitors and managing calls.

General Duties:

· Support CDC’s Division of Blood Disorders (DBD) staff with scheduling and maintenance of division calendar.

· Support DBD staff by making domestic and international travel arrangements, including coordinating, and preparing travel packages, making reservations, and assisting with preparation of travel vouchers (as needed).

· Support DBD staff with resolving unliquidated deliverable orders (ULOs).

· Process Time and Attendance (T&A) for DBD staff. At the end of each pay period for each employee, prepare, obtain certification from the appropriate Government employee, and electronically transmit the T&A record for processing through the payroll system.

· Support DBD staff with administrative elements of recruiting, onboarding, and managing personnel actions, including organizing documentation, scheduling interviews, and developing associated correspondence.

· Support DBD staff with submitting and monitoring conference approval requests, including compiling, and organizing conference and travel information, corresponding within CDC about conference approval requests.

· Support DBD staff with arrangements for visitors to CDC, including collecting visitor information, assisting with processing visitor campus access requests (such as NCAMS), developing, and organizing visit materials, and assisting with visit execution.

· Support DBD staff with meeting planning, room reservations, agenda development, equipment requests, setup, note-taking, and all associated administrative functions.

· Support DBD staff by working with CDC business services offices and administrative points of contact within and outside the agency to conduct the activities described above.

· Assist DBD staff with obtaining services, supplies, or equipment by entering required information into the credit card purchasing system.

· Serve as a focal point for meetings to include arranging, preparing, and mailing out all notices of meetings and read-ahead materials and all other correspondence. Attend meetings, record, and prepare minutes for these meetings.

· Prepare travel accommodations, orders, and vouchers in accordance with federal travel regulations for DBD staff and invitational travelers using the government electronic system.

Qualifications, Education and Experience:

· Associate’s degree or equivalent combination of education is preferred, but not required.

· Eight (8) years of administrative assistance with at least 3 years of executive level support.

· Skill in use of various office systems, hardware, and software components and packages (e.g., word processing, electronic mail, and government-wide enterprise systems).

· Ability to produce a wide range of documents, such as graphs or tables within text, to edit/revise electronic submissions, and to edit/revise existing databases or spreadsheets.

· Strong organizational and analytic skills.

· Skill in communication techniques to gather and disseminate information and communicate problems and results; The ability to work well with others and manage multiple tasks.

· The ability to work in a diverse, flexible, deadline driven, government environment.

· The ability to handle contacts with internal and external constituents through a variety of situations with diplomacy and tact, in a professional, courteous, and helpful manner.

· Three (3) years of experience working with the CDC, federal or related public health entities preferred.

· Background investigation required.

Skills and Knowledge

· Knowledge of scheduling and Concur or other travel systems.

· Heavy scheduling and calendaring experience.

· Well-versed in Microsoft Office products.

· Experience with phone systems.

· Must have the ability to type 40 net words per minute.

· Knowledge of English usage, spelling, grammar, and punctuation.

· Strong oral and written communication skills.
