Job Title: Administrative Assistant

Location: 681 US-69; Pittsburg, Kansas 66762 [and 310 N. Pine, Pittsburg, Kansas 66762]

Status: Part-time (20 hours/week)


SUMMARY

The SEK Clinic is an active center in Southeast Kansas that provides early learning opportunities for children with disabilities. The SEK Clinic is a subsidiary of Integrated Behavioral Technologies, Inc, a nonprofit, 501 (c) 3 organization, that serves children with families across the State of Kansas. IBT operates the SEK Clinic, the KIDS Place in Northeast Kansas, a psychological assessment clinic located in Basehor, KS, and provides home and community-based interventions across the state. The person holding this position reports directly to their immediate site Supervisor.

We are seeking a talented person who is motivated to work in our fast-paced center environment. We need someone who is an energetic, organized self-starter and wants to learn and grow to assist in general office needs. This includes answering phones, responding to clients and field staff, typing, data entry, keeping the office orderly, emailing, formatting documents, photocopying, faxing, mailing, filing, and other specific office needs such as processing new hire applications, scheduling, and assisting with family billing. In addition, this position is responsible for providing assistance with clinic support, and ensuring all pertinent local files have the required documentation, and assists the main office in ensuring all documentation for local clinicians and families is obtained.


QUALIFICATIONS AND EXPERIENCE

  • Ability to prioritize and meet deadlines

  • Self-starting

  • Outstanding organizational skills

  • Ability to handle multiple projects simultaneously

  • Vehicle liability insurance

  • Experience working in an office environment (Bachelor’s or Associate’s degree preferred)

SKILLS REQUIRED

  • Accurate, fast typing

  • Proficiency with Microsoft Word, Excel

  • Filing, writing and basic secretarial skills

  • Strong customer service skills

  • Strong administrative skills

  • Professionalism (i.e., boundaries, ethics), organizational skills, honesty, self-starter, personable and detail-oriented

DUTIES

  • Respond to all emails and telephone calls

  • Prepares and/or writes material and correspondence, including basic writing, editing, mailing and emailing letters of reply

  • Responsible for other secretarial duties including photocopies, information packets, data entry, organizing mailings and job postings

  • Handles new hire applications

  • Handles new child enrollment packets and applications

  • Maintains provider updates

  • Maintains files and records in database

  • Actively gathers and promotes materials and information from members

  • Anticipates requirements for meetings and events

  • Assists volunteers and committees as needed

  • Keeps the office clean and neat

  • Pleasant, professional and positive attitude about business, members, and city - both on and off duty

  • Maintains the highest degree of confidentiality

Job Type: Part-time

Pay: $13.00 - $15.00 per hour (depending on experience)
