Brief Position Overview:
The Administrative Assistant is responsible for providing clerical support to the Ryan White Grant Administration (RWGA) Program functions related to Ryan White Part A, Ending the HIV epidemic and related HIV federal services from the Health Resources and Services Administration (HRSA). The assistant is responsible for performing receptionist tasks, data entry and collection, ordering and invoicing for the program.

Duties & Responsibilities:

  • Copies, scans, processes mail, schedules conference rooms, logs HRSA correspondence, meeting coordination and other administrative duties as assigned.
  • Manages and archives the administrative and grant management files. Includes delivery and pick up contracts, contract amendments, and weekly batch sheet as assigned.
  • Maintains the log of copy/print jobs and report monthly copier activity to vendor.
  • Maintains the office supply inventory, processes supply order and other invoices, and completes tracking forms to monitor and track supply orders and administrative expenditures.
  • Coordinates processing expense reports, Purchase Order request, time sheets, and Commissioner Court letters.
  • Tracks and assures that all section reimbursement checks have been processed.
  • Monitors exceptions report for outstanding invoices and provide correct information to pay.
  • Set up queries in Access and keep track of changes made to the database.
  • Other Duties as assigned.

Requirements

Education:

  • High School diploma or GED equivalency

Experience:

  • Two (2) years of administrative experience
  • One (1) year of experience processing and tracking invoices
Licensure:
  • Must have a valid Driver’s License (TX upon hire)

Position Type, and Typical Hours of Work:

  • Full-Time | Grant-funded
  • Monday – Friday | 8 am – 5 pm
  • Other days and hours as necessary.
Work Environment:
  • This job operates in a professional office environment.
  • This position operates in both clinical and standard office environment settings with standard equipment such as computers, fax machines, scanners, phones, and photocopiers.
Physical Demands:
  • This is a largely sedentary role; however, some duties would require the ability to lift up to 20 pounds and bending & standing for periods at a time.
