Computer World Services, Corporation (CWS) is seeking an exceptional candidate to serve as Administrative Assistant for the NIH IT CSPSS customer service Portfolio that consists of a full range of NIH IT Service Desk and Desktop Support services, IT Training, and related resource services. The NIH IT Service Desk provides technical support to the NIH community via the World Wide Web and phone. The Service Desk receives over a thousand requests for service every business day.

Where issues cannot be resolved in-house, they are assigned to support staff in each of NIH’s ICs. Support cases are assigned and resolved using the NIH IT Service Desk IT Service Management System (ITSM), supported by the CIT Business Application Services (BAS) and the Service Desk’s Automated Call Distribution System administered by CIT Unified Connectivity and Communication (UCC) service area.

The candidate will be responsible for providing administrative assistant support to Program Management and Engineering & Technology senior managers for our NIH IT CSPSS effort located in Bethesda, MD. Candidate should possess an elevated level of administrative assistant experience including calendar management, independent decision making, proactive responses to tasks and projects and excellent interpersonal skills including effective communication skills. Advanced level experience required with Microsoft Office Suite, particularly focused on Outlook, PowerPoint, Word, and Excel. Chosen candidate would be required and responsible for coordination for internal events, external customer events and team all-hands events when appropriate.

Key Tasks and Responsibilities

  • Proficiency in Microsoft Office including Word, Excel, PowerPoint, and Outlook.
  • Experience with and ability to maintaining & retention of metrics, data and presentations.
  • Ability to manage multiple tasks simultaneously, and quickly adjust to competing priorities.
  • Exceptional communication skills, verbal and written.
  • Exceptional interpersonal skills and demonstrated ability to deal with executive level contacts both within and outside of the company.
  • Ability to maintain confidentiality.
  • Ability to proofread and edit computer-based documents.
  • Prepare graphical and narrative presentations material.
  • Maintain personnel files, prepare correspondences, schedule meetings, coordinate travel and support the development of contract deliverables.
  • Responsible for integrating the graphics generated with automated tools and the deliverable documents.
  • Assists in the preparation of management plans and reports.
  • Coordinate schedules to facilitate completion of proposals, contract deliverables and task order reviews.
  • Performs analysis, development and review of program or functional areas, as required.
  • Effective organizational and decision-making skills.
  • Adapts to new environment with successful results
  • Experience with making/changing travel and meeting arrangements and processing expense reports.
