Job Summary:

Assist in answering phone calls and questions from members.

Assist in processing new member applications and route applications to the Bookkeeper.

Assists Multiple Listing Service members with technical questions and programs.

Process Listing Data Errors.

Issues Supra products and provides support to members.

Assist with committee work as needed.

Develop manuals for every task at the board office.

Website member approval.

Website maintenance.

Assist with deposits.

Assist with filing paperwork.

Perform tasks as directed by the Executive Officer.

Essential Duties and Responsibilities and Expectations:

1. Assist members with their daily needs associated with the Billings Association of REALTORS®.

Weekly. Assist and direct the membership’s needs daily. Duties included: answer and screen phone calls, direct member’s requests within the office, assist members on the MLS website, answer questions about upcoming events and classes, answer general members questions when they call or stop by, sign members up for upcoming events and classes, direct questions in regards to forms, Supra keys, essential paperwork, etc. Setup and assist members with their ekey. Take payments for any board store purchase, lockboxes, events, education classes or monthly MLS fees.

Daily Duties:

· Assist and direct member’s daily needs.

· Answer and direct member phone calls and questions.

· Order, Maintain and record sales from the Board Store.

· Assist members with all programs including Matrix, Supra, Property Panorama, TouchMLS and any additional add-ons and upgrades for the system.

· New members sign ups and follow up on all membership requirements including Orientation and Induction.

· Sort and open mail to complete daily deposits for accounting purposes.

· Maintain member files after routing through office channels.

Monthly Duties:

· Assist in creating flyers for and sign-up members for upcoming events and classes

· Coordinate and book education speakers and assist in CE events.

· Assist in creating notices and notify committee members of upcoming meetings and events.

· Solicit and track affiliate sponsorships for events.

· Assist with committee work as needed.

Minimum Qualifications (Experience/Education):

· High school diploma, GED or Bachelor’s Degree in related fields such as Business or Office Management.

· Advanced written and oral communication skills.

· Advanced organizational and analytical skills.

· A working knowledge of Internet and computer systems.

· Accounting skills including the ability to understand budgets, financial statements, and internal controls.

· Personal supervision skills and people skills including the ability to work with volunteers.

· The ability to work independently in a professional manner.

· Must possess good organizational skills and be detail oriented.

· Effective time management skills.

· Must be adaptable to changing situations.

Physical Demands & Working Conditions:

· Office environment, no specific or unusual physical or environmental demands.
