A fast growing, family owned Road and Bridge Company is currently looking for an administrative assistant whom will provide high-level administrative support for two Department Executives. The ideal candidate will conduct research, prepare reports, handle information requests, purchasing, and perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The ideal candidate will also include some personal/family duties such as appointments, schedule, travel arrangements etc.

Responsibilities include but are not limited to

· Provide assistance by monitoring emails, mail and all lines of communication

· Manage executives’ schedules, calendars, and meetings / appointments (business/personal)

· Act as the point of contact between the two executives and others

· Organize Meetings, including scheduling, sending reminders and take detailed minutes

· Compose and prepare correspondence, reports, presentations, and other complex documents

· Manage sensitive and highly confidential information both internally and externally

· Coordinate travel arrangements (business/personal)

· Manage personal and business contact information

· Multitask and problem solve in a fast pace work environment

· Maintain flexibility in being available evenings and weekends as needed and adjusting to last minute change of plans

· Liaise with personal and business associates

· Compile requests for purchasing materials

· Gather information and records to draw up purchase orders for procurements of materials and services

· Compare prices, specifications and delivery dates to assist in determining the best bid.

· Track the status of requisitions, contracts and orders, and calculate relevant costs.

· Other jobs as assigned

Qualifications and Experience

· Minimum of 2 years of Administrative Assistant experience supporting two or more executives (some experience providing personal support required)

· Proficient in Microsoft Office (Word, Excel, Power-point etc.)

· Previous experience in Purchasing /requisitions/purchase orders (a plus)

Standard Requirements

· Pass a pre-employment drug and alcohol test
