What we are looking for

The person in this position will be tasked with administrative + bookkeeping functions, while assisting with the operations of the front office and guest relations. This person will need to be organized and strategic in order to handle multiple responsibilities at once. A successful communicator is important to work effectively across multiple business units. This is a full time position based in Isle of Palms, South Carolina.

What you'll do

  • Assist with the management of bookkeeping tasks including but not limited to, accounts receivables and payables, bank reconciliation, maintain and balance general ledger, prepare various financial statements, etc.
  • Maintain property management trust accounting software and CRM
  • Track and manage expenses
  • Notify property manager if any non-routine proposal/invoice will be over $200.00
  • Manage guest relations, including but not limited to check-ins, concierge services, and handle guest issues, seeking assistance from Property Managers as necessary.
  • Responsible for daily communication with homeowners, guests, and vendors
  • General upkeep of the office, including management of collateral, office supplies, owner arrival supplies, etc.
  • Complete daily operations checklist
  • Monitor Guest Information E-Mail Box
  • Assist owner and guest mailings and special events
  • Provide contractor keys and dispatch if needed
  • Be familiar with all safety and emergency procedures including OSHA requirements
  • Knows all safety and emergency procedures and their role in assisting during these times
  • Report all safety hazards
  • Adhere to all standards of operations, policies and procedures, manuals, memos and verbal instructions
  • Perform additional responsibilities as required

What you'll bring

  • 2-4 years' experience in general ledger accounting and month end reconciliation
  • 2+ years' in front office experience within real estate, property management, or a closely related field
  • Passion for the hospitality industry and and entrepreneurial spirit
  • Proficient understanding of Microsoft systems (Word, Excel, etc.)
  • Excellent communication skills, both verbal and written
  • Excellent organization and time management skills with a strong attention to detail
  • Tech savvy
  • Good interpersonal skills required
  • Strong tact and diplomacy; interacts with and works cooperatively with associates, property owners and guests
  • Ability to multitask in a high paced environment
  • Must be adaptable and flexible to change
  • Ability to work a flexible schedule and be able to work weekends and holidays
  • Ability to remain calm and professional at all times
  • Be able to make quick decisions and possess good judgment
  • Ability to lift over 50 pounds
