This position is eligible for full-time remote work (including virtual office arrangement). Must reside in the State of Arizona.

Job Summary:
The Division of Member and Provider Services is looking for a highly motivated individual to join our team as an Administrative Assistant 3. This position provides administrative support to the DMPS Senior Management Team, other managers and Division Support Unit (DSU).

This position has the potential to Telecommute based on the unit needs.

Major duties and responsibilities include but are not limited to:

Provide administrative support for the DMPS Assistant Director and DMPS Senior Management Team. Includes phone coverage, word processing, spreadsheet, and presentation applications to prepare documents and manage activities; redacting, scanning, copying, making travel arrangements, calendar management and meeting facilitation; manage conference rooms and web conference applications.
Participate in and support DMPS projects. Coordinate COOP, Emergency Response Team (ERT), Electronic Time Entry (ETE), stipend implementation and tracking, travel claims, move and telecom forms, field office support and back-up for purchasing liaison creating and managing a block of monthly purchases in the AZ State Purchasing system.
Manage the document list, imaging and filing for the DMPS master documents system. Review and maintain the DMPS shared directories.
Back-up DMPS Business Partners: Maintain electronic files which includes scanning, maintaining spreadsheets, schedule testing and interviews, and reference checks for hiring events, etc.
Participation in the agency employee recognition and engagement team; State Employee Charitable Campaign (SECC), Healthy Living and/or the DMPS events teams.
Support the DMPS SharePoint site posting updates, adding documents and managing the DMPS employee suggestion program, maintaining shared directories and some reporting responsibilities. Support the DMPS Square posting updates and managing Think Outside the Box.
Participates in AMS activities with DSU and other units within DMPS, including required, optional meetings and continuous learning opportunities.

Knowledge, Skills & Abilities (KSAs):
Knowledge:
Principles and practices of administration, organization and research.
AHCCCS programs, operational procedures and organizational structure.
Business etiquette and ethics.
Basic math.

Business office operations software and applications Using numerous computer databases, systems, and programs to include Microsoft, Google.
Analysis and problem solving.

Work on a variety of non-related assignments at the same time.

Plan, analyze, coordinate activities and establish priorities.
Keep confidentiality.
Facilitate, lead and contribute to meetings.

Selective Preference(s):
Arizona Drivers License

Minimum:
Three years responsible administrative experience; or Bachelor's degree in a field appropriate to the assignment and two years responsible administrative experience; or a Master's degree in a field appropriate to the assignment and one year responsible administrative experience.

Pre-Employment Requirements:
  • Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired State employees.
  • Successfully pass fingerprint background check, prior employment verifications and reference checks; employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.
  • Travel may be required for State business. Employees who drive on state business must complete any required driver training (see Arizona Administrative Code R2-10-207.12.) AND have an acceptable driving record for the last 39 months including no DUI, suspension or revocations and less than 8 points on your license. If an Out of State Driver License was held within the last 39 months, a copy of your MVR (Motor Vehicle Record) is required prior to driving for State Business. Employees may be required to use their own transportation as well as maintaining valid motor vehicle insurance and current Arizona vehicle registration; however, mileage will be reimbursed.
