The Acquisitions and Cataloging Specialist (ACS) works under the direction of the cataloging librarian in accessioning, cataloging, and physically processing new materials; resolving acquisition problems; performing cataloging maintenance; copy-cataloging published materials in a variety of formats; and maintains a current procedures manual. The ACS also provides some administrative support to the Clarke Historical Library (CHL) including supporting the Clarke’s Board of Governors meetings.

Required Qualifications

Associate degree.
Two years related work experience.
Knowledge of database systems and operations.
Demonstrated ability to complete complex, detail-oriented procedures accurately, timely, and efficiently.
Demonstrated organizational, analytical, and independent problem-solving skills.
Ability to learn and adapt to complex library systems and platforms (ex. OCLC Connexion, Ex-Libris Alma, etc.)
Ability to maintain detailed financial records and analyze miscellaneous financial accounts.
Familiarity with, or ability to learn, library cataloging standards and best practices.
Ability to manage time and prioritize multiple job responsibilities.
Ability to work with other staff in a team environment.
Ability to lift boxes weighing 25 pounds or more onto a shelf.
Tolerance to intermittent exposure to mold, mildew, and other physical conditions associated with old books.
Demonstrated positive interpersonal skills.
Demonstrated ability to communicate effectively.
Ability to perform the essential functions and requirements of the job.

Preferred Qualifications

Experience performing copy and/or original cataloging in a library or archive.
Experience applying metadata and cataloging practices and standards such as RDA, MARC21, Library of Congress Subject Headings, and/or Library of Congress Classification.
Experience using a variety of online cataloging tools such as Library of Congress Classification Web or RDA Toolkit.
Experience using related library management systems and platforms such as OCLC Connexion, Ex-Libris Alma, etc.
Experience with library acquisition ordering and processing new materials.
Experience ordering supplies and/or library materials.
Experience performing library or archival research.

Duties & Responsibilities

Works with the CHL director on acquiring materials for the Clarke Historical Library, including but not limited to placing orders with booksellers, reconciling, tracking, and researching purchases.
Works with the Acquisitions and Resource Management department to initiate new acquisitions and creates and maintains order records in Alma for new acquisitions.
Checks in, updates holdings as needed, and physically processes incoming serials.
Maintains accessions records for purchases and gifts-in-kind.
Copy-catalogs all published material in a variety of formats obtained by the CHL.
Enhances copy-cataloged records, e.g., supplying Library of Congress Classification and other local call numbers where needed, adding subject headings as appropriate, etc.
Maintains, updates, and corrects as needed information in bibliographic records, including electronic links to CHL digital collections and other electronic sources.
In collaboration with the cataloging librarian, reviews and updates the cataloging manual.
Serves as the CHL’s point person for general and routine library support including but not limited to collaborating with Business Services on ordering supplies.
Collaborates with the CHL director and the Dean’s Office in organizing the Clarke Historical Library Board of Governors meetings and related tasks.
Assists with CHL programming and events in collaboration with the Dean’s Office and CHL staff.
Creates and maintains administrative procedures documentation in collaboration with the CHL director.
Occasionally answers and/or refers questions about the CHL’s services, policies, programs, and collections by phone, email, and in person.
May assist with special projects.
May serve on library committees.
Participates in professional development activities and library meetings and training.
Performs other duties as assigned.

About the Department
The University Libraries, library.cmich.edu, offer a wide range of resources and
services to support CMU students, faculty, and staff in accomplishing their learning
and research goals regardless of program or location. Librarians are available to
assist students, faculty, and staff with research projects and to help users effectively
access information in person, by email, chat, or telephone. The librarians also
provide formal, course-specific library instruction to classes upon request by a faculty
member. The Libraries’ collections contain more than 1,000,000 books and other
print items, 850,000 electronic books, 275 databases, access to the full-text content
to 125,000 journals, and more than 100,000 multimedia items. Items not owned by
the library may be obtained from other institutions through the library’s Documents on
Demand service. Within the Park Library building, more than 275 computer
workstations, including both Windows and Macs, are available as well as and
wireless access for personal laptops and mobile devices. A variety of study spaces
exist, including open study tables and carrels, individual study rooms, group study
rooms, and collaborative study areas. During the fall and spring semesters, the
library building is open more than 100 hours per week and an extended-hours study
space is available 24/7. The University Libraries include the Clarke Historical Library,
clarke.cmich.edu, which collects print and manuscript items related to Michigan and
the Old Northwest Territory, children’s literature, Native American materials, and CMU history. The Clarke’s holdings include more than 87,000 printed items, 5,100
manuscript collections, 12,500 reels of microfilm, 16,000 visual images, and 2,300
maps documenting all aspects of life in Michigan.
