The Accounts Payable Specialist is responsible for day-to-day operational accounting functions with an emphasis on Non-PO Invoices, Expense Reports, and Online Payments. Success in this role requires the ability to learn quickly, communicate effectively, and use new tools and programs including SAP. Additional responsibilities for the AP Specialist, include maintaining electronic files and documentation thoroughly and accurately in accordance with company policy and generally accepted accounting principles. This position is responsible for monthly journal entries, uploading non-PO invoices, and reconciliations of balance sheet accounts on a monthly basis. AP Specialist should conduct regular audits and utilize skills to track, process, and research accounting processes/problems.

Essential Tasks and Responsibilities:

  • Submit payments and control expenses by receiving, processing, verifying, and reconciling invoices
  • Reconcile processed work by verifying entries and comparing system reports to balances
  • Charge expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries
  • Reimburse employees by receiving and verifying expense reports
  • Maintain accounting ledgers by verifying and posting account transactions
  • Verify vendor accounts by reconciling monthly statements and related transactions
  • Protect organization’s value by keeping information confidential
  • Accomplish accounting and organization mission by completing related results as needed
  • Receive and enter third party invoices in SAP
  • Manage accounting email inbox to facilitate internal and external inquiries
  • Research and solve payment discrepancies through reconciliations of vendors’ accounts
  • Ensure prompt payment to vendors by managing relationships with their accounting team

Qualifications:

  • 5 or more years of proven accounts payable experience
  • Proven analytical skills and strong attention to detail
  • Data entry and general math skills
  • Knowledge of GAAP
  • Excellent organizational skills, including the ability to manage multiple tasks
  • Superb written and verbal communication skills
  • Proficiency in Excel, Outlook, Teams, and ERP systems (SAP preferred)
