Position title: Accounts Payable Clerk
Division: Administration
Department: Accounting
Reports to: Controller
FLSA Status: Full-time/Non-Exempt
Compensation: $25.71 to $30.00 per hour, depending on level of skill and experience
Schedule: Monday to Friday, 8:00am to 4:30pm
Location: 1560 Berger Drive, San Jose, CA 95112
Position Summary:
The Accounts Payable Clerk is responsible for processing all invoices received for payment and for undertaking the payment of all creditors in an accurate, efficient and timely manner. The Accounts Payable Clerk may also be responsible for other administrative duties within the accounting department such as filing paperwork, coordinating and/or attending team meetings, answering phone calls and emails, and other duties assigned by the Controller.
Job Duties:
  • Obtain supporting documents to support paying the invoices;
  • Verify and investigate discrepancies, if any, by reconciling vendor accounts and monthly statements;
  • Review invoice extension and verify accounting codes;
  • Ensure invoices are authorized prior to enter them into the organization's internal system
  • Enter invoices on a daily basis;
  • Ensure invoices are entered to meet the monthly cutoff, enabling timely generation of monthly financials;
  • Coordinate and process invoice payments to vendors;
  • Obtain Controller’s prior approval before semi-monthly check runs;
  • Obtain signature of checks;
  • Communicate with vendors and staff regarding the status of payments;
  • Maintain files on account status, vendor information, and payments processed;
  • Generate reports detailing accounts payables status;
  • Understand expense accounts and cost centers;
  • Understand compliance issues around accounts payable processes (W-9, sales tax, etc.);
  • Other tasks assigned by the Controller
  • Provide leadership in strengthening internal communications with staff at all levels throughout the organization; create and promote a positive and supportive work environment.
Physical Job Description:
  • Sit for periods of up to 4 hours.
  • Stand for periods of up to 2 hours.
  • Push/pull up to 50lbs with arms and torso.
  • Bend, stoop, turn at the waist.
  • Lift and carry objects weighting up to 25lbs.
  • Use electronic devices such as a computer, smartphone, and/or tablet.
  • Use small hand tools such as scissors.
  • Repeated movement of hands.
Minimum Qualifications:
  • High school diploma or equivalent;
  • 1 year experience in A/P or administrative assistant
  • Proficiency in MS word, MS Excel and MS Outlook a must;
  • Good communication skills;
  • Strong attention to detail;
  • Ability to maintain a high level of discretion, confidentiality, and professionalism;
  • Valid California driver’s license with access to a personal vehicle with current insurance that can be used for company business

Preferred Qualifications
  • Bilingual Spanish or Vietnamese;
  • Associates degree in Accounting, Business, or related field;
  • Prior work experience an accounting, data entry, or bookkeeping position;
  • Experience working for nonprofit organizations desired;
  • Familiarity with QuickBooks.
Salary and Benefits
  • Salary for this position ranges from $25.71 - $30.00 per hour. The salary is based on a level of skill, experience, and education that meets or significantly exceeds the minimum requirements for this position, and is commensurate with the compensation scale;
