The Accounts Payable Assistant will be responsible for processing vendor invoices for purchase orders and expenses. This position will also perform general office duties, such as filing, answering telephones, and handling routine correspondence.


Essential Job Duties:

  • Processes vendor invoices for Purchase Orders and Expenses in a timely manner.
  • Communicates and researches issues with external vendors as well as stockroom and purchasing department.
  • Reconciles freight and vendor statements.
  • Collects, sorts and distributes mail.
  • Organizes office/copier supplies and reorders as needed.
  • Greets visitors and determines whether they should be given access to specific individuals.
  • Answers main switchboard and directs calls as appropriate.
  • Provides administrative support to other departments, as time permits.
  • Other duties as assigned.

Education and Experience:

  • Minimum of two (2) years’ experience in Accounts Payable.
  • Proficiency in MS Office products (MS Word, MS Excel and MS Outlook).
  • Experience with SAP Concur or similar software preferred.

Knowledge:

  • Clerical - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • English Language - Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Customer and Personal Service - Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

Physical Demand and Work Effort:

  • Physical demands are light, consisting of sitting and using office equipment and computers.
  • Work is performed in an office setting.
  • Must be able to spend long hours on the computer entering data which requires attention to detail.
  • Must be highly organized and able to multi-task.
  • Compliance with company attendance standards.
  • FLSA Status: Hourly, Non-exempt.
