POSITION SUMMARY

The Fiscal Manager will have primary day to day responsibilities for planning, implementing, and controlling all finance-related activities of the organization. Fiscal Manager will report directly to the Executive Director and works with Board Members and the Finance Committee.
The Fiscal Manager will directly influence and participate in long range planning for United Way of Eastern LaSalle County through the Community Investment Process and Campaign Analysis.
The Fiscal Manager will have overall responsibility for accounting, internal financial reporting, financial planning for programs, budgeting, payroll preparation, government reporting, and the external audit.

KEY RESPONSIBILITIES/ESSENTIAL DUTIES OF POSITION

An individual must be able to perform each essential duty listed below at a satisfactory level:

  • Responsible for all accounting software functions including maintaining general ledger, preparation of financial statements, processing accounts payable, processing accounts receivable and creating A/R reports. In addition, assists with Board Reports.
  • Processes and disburses all financial payments, produces monthly financial statements, and presents them quarterly to the Board of Directors.
  • Balances all bank records.
  • Responsible for recording all donations, pledges, payments, and contact information changes into campaign software, and cross references with accounting software to ensure correct balances. Processes tax receipt letters for donors.
  • Manages all aspects of payroll operation, including government deposits and government reports.
  • Prepares the Endowment Fund report and adjusting entries.
  • Handles all activities involving United Way of ELC’s annual external audit and preparation of the IRS Form 990. Helps with preparation and presentation of Annual Report.
  • Prepares the United Way Worldwide mandated Database II membership certification annually.
  • Oversees the maintenance of all office equipment.
  • Prepares and organizes mailings to donors.
  • Assists Executive Director with United Way of ELC Direct Service Programming.
  • Works as a team with the Program Manager and under the direction of the Executive

Director.

JOB REQUIREMENTS

Minimum requirements include:

  • Experience working in a non-profit organization; understanding of non-profit accounting principles.
  • Bachelor’s degree preferred.
  • Takes initiative, works independently, and has strong ability to multi-task.
  • Working knowledge of non-profit fiscal management, including fund accounting and budgeting.
  • Ability to manage all internal and external databases.
  • Ability to prepare fundraising materials and help in their delivery.
  • Acts as receptionist, answering phone and greeting visitors – evaluating their needs.
  • Some evening and weekend work may be required.

SALARY STATEMENT

The salary of Fiscal Manager shall be proposed by the Executive Director with the approval of the United Way Executive Committee, subject to budget provisions and reviewed annually.
