POSITION OBJECTIVE

Working under general direction, compute, classify, and record numerical data to keep financial records complete. Perform any combination of complex and diverse calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records. May also check the accuracy of figures, calculations, and postings pertaining to business transactions recorded by other workers. The accounting clerk will be responsible for accounts and speed types to be the “eyes and ears” of the Controller’s Office. This person must work in collaboration with other individuals to understand the accounting and operations of various departments/function within Case Western Reserve University.


ESSENTIAL FUNCTIONS

  • Work closely with departments in performing physical inventory of capital equipment and ensure the university’s bi-annual inventory of equipment items is completed by the requested deadlines. This includes the follow-up on items that could not be located. Identify damages, theft and other issues that could impair capital equipment functionality. Monitor for any potential issues/trends and make recommendations for change or improvement and determine when issues/matters need to be escalated. (30%)
  • Update records of capital equipment greater than $5,000 in accordance with university policies, government guidelines, and GAAP. Ensure the integrity of the records. Act as custodian of the PeopleSoft Asset Management (PS AM) system including, but not limited to making sure accounting records are updated on a timely basis, reconcile the general ledger and sub ledger. Act as liaison between ERP and UTech for the CG4 Asset Tracking System (CG4). Process import and export asset files, between PS and CG4. Maintain the scanning equipment, which includes any PS AM modifications. (30%)
  • Track and report government-furnished and government-acquired equipment. Tag all government equipment with special property tags to clearly show the item is the property of the U.S. Government. Prepare government property reports for the annual property reporting to NIH, NASA, Department of Defense, Department of Energy, and the Office of Naval Research on a timely basis for review by manager. (10%)
  • Assist in the preparation of internal briefing schedules and annual schedules for the external auditors as necessary. (10%)


NONESSENTIAL FUNCTIONS

  • Determine when issue/matters need to be escalated to accountants or manager. (5%)
  • Develop and propose journal entries to correct items as needed. (5%)
  • Monitor accounts for any potential issues/ trends and make recommendations for change or improvement. (5%)
  • Perform special projects and other duties as assigned. (2.5%)
  • May assist with the daily operation of the department. (2.5%)


CONTACTS

Department: Continuous contact with the Controller’s Office to maintain workflow.

University: Continuous contact with faculty, department administrators and staff at the various schools and departments to exchange information. Regular interactions with the ERP team, UTech, Accounts Payable and Procurement Services to maintain workflow.

External: Occasional contact with various bank institutions and colleagues from other institutions to exchange information.

Students: Infrequent contact with students.


SUPERVISORY RESPONSIBILITY

This position has no direct supervision of staff employees.


QUALIFICATIONS

Experience: 2 to 3 years of demonstrated experience in a related field—experience to include, inventory/audit, reconciliations, and various accounting functions preferred.

Education/Licensing: High school education required; Associate’s degree highly desirable.

  • Excellent communication skills: Understanding written sentences and paragraphs in work related documents. Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. Communicating effectively in writing as appropriate for the needs of the audience. Talking to others to convey information effectively. Must have excellent oral and written communication skills.
  • Strong analytical and organizational skills required. Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems. Ability to manage one's own time.
  • Ability to actively learn - understanding the implications of new information for both current and future problem solving and decision-making.
  • Proven customer service orientation.
  • Must be self-motivated and have the ability to work as part of a team.
  • Accurate and detailed oriented.
  • Ability to multi-task and manage deadlines.
  • Strong PC skills. Must be proficient in Microsoft computer applications and exhibit a willingness to learn.
  • Experience with PeopleSoft Financials or other ERP software preferred.
  • Ability to meet consistent attendance.
  • Ability to interact with colleagues, supervisors, and customers face to face.
  • High level of integrity and professionalism.
  • The ability to lift up to 25 lbs. and spend consecutive periods of the working day moving around campus.


WORKING CONDITIONS

Typical office environment. The employee will perform repetitive motion using computer mouse and keyboard to type. The employee will have to adhere to the controller’s office dress code. Frequent travel throughout the campus is required.
