This position will act as an extension of and work with primary Executive Assistants to Ownership. The successful candidate will be exceptionally organized, proactive and provide support in a fast-paced environment, remaining flexible, poised, resourceful and efficient. They will demonstrate positivity and professionalism while building relationships with colleagues, family members, and external contacts. They will be responsible for maintaining strict confidentiality and a high level of integrity in all interactions. Candidate must possess strong attention to detail and have demonstrated experience working in a C-Suite environment. This position will manage a broad variety of personal and business-related billing and administrative tasks, including but not limited to payroll.

This position is currently a hybrid position with 3 days in the Taunton office and 2 days remote.

Key Accountabilities:

  • Review invoices for accuracy and discuss discrepancies with vendors
  • Pay invoices and process donations through on-line banking or checks
  • Reconcile bank statements
  • Prepare reports to summarize receipts and disbursements
  • Manage payroll for approximately 10-15 employees including filing requirements
  • Manage various insurance policies and business travel contracts
  • Reconcile books and records
  • Analyze accounts
  • Special projects as assigned
Requirements:

Knowledge/Skills/Abilities:

  • Desire to work in a fast-paced environment with discretion and sound judgment.
  • Excellent interpersonal and problem-solving skills with the ability to prioritize and meet deadlines.
  • Excellent time management, organizational and customer service skills.
  • Excellent written and verbal communication skills.
  • High level of proficiency with Microsoft Office (Word, Excel, PowerPoint), WebEx, Teams, Zoom, and Quicken/QuickBooks.
  • Expertise with online bill pay systems.
  • Work with minimal supervision
  • Team player with a positive attitude
  • Experience with Paychex Flex payroll system is preferred
  • Ability to maintain the highest level of confidentiality

Education/Experience/Training:

  • Bachelor’s Degree in Accounting (or a similar discipline) required
  • 5 years of bookkeeping experience
  • Experience processing payroll
