The Workforce Enrollment Specialist reports to the Dean of Workforce and performs various student support duties. This position is responsible for all parts of the student registration, retention, and completion processes. This position ensures accuracy and compliance with FERPA as well as program and policy coordination including compliance at the college, state and Federal level.
Essential Duties and Responsibilities
  • Provides accurate and detailed attention to the functions of student registration, class scheduling, instruction space assignment, transcripts, maintenance of student academic records, posting of grades/grade changes, auditing student enrollment for certification completion and student advisement regarding program offerings.
  • Oversees the maintenance and retention of all student academic records through the development of a systemic approach for the establishment, security, storage and retrieval of all records.
  • Coordinates the transfer of data into the electronic data processing system, providing for the consolidation and storage of file records.
  • Develops and implements filing systems to facilitate effective paper flow, information retrieval and dissemination.
  • Approves the release of transcripts and the distribution of grades to students, deans, and advisors.
  • Plans and coordinates the scheduling of registration and graduation.
  • Coordinates advanced registration activities including the preparation of materials and supplies.
  • Resolves issues encountered regarding scheduling and formulates alternative plans.
  • Administers the international student admissions and veteran's certification programs.
  • Schedules all credit and career credit courses related to WED in the institution’s ERP (Enterprise Resource Planning) system.
  • Conducts training for staff on record-keeping protocol and using ERP to ensure accuracy and compliance.
  • Maintains for the security, retrieval and retention of registration records and related information.
  • Performs financial functions connected to student account creation and payment for WED.
  • Processes all student registrations in ERP accurately and in a timely manner, and provides technical assistance and solutions to students.
  • Investigates and corrects discrepancies in student registrations and records, including but not limited to, resolving problems with student accounts and facilitating solution(s) to expedite the student registration process.
  • Manages the Apprenticeship class registration, including the manual input of license, registration, and tuition fees at a pro-rated rate year-round; likewise, manages the LOIs from Apprenticeship employers and works with Treasurer’s office to provide appropriate refunds to students and 3rd party payers.
  • Manages online training portals such as Walmart-Pro and Walm-Pro online, as well as serves as the liaison for Ed2Go classes and students.
  • Maintains and manages scheduling permissions in Ad Astra and books all rooms for WED related trainings, classes, and activities.
  • Administers and oversees the coordination of WIOA, Arkansas Rehab and other 3rd party payers, as well as the registration, advising and reimbursements
  • Performs other duties as assigned.
Rate of Pay: $45,000 annualized

Required Qualifications
Bachelor degree in business or related field
Three years of progressively responsible office and administrative work
