Position Summary

The Welcome Center Director is an exempt position that reports to the Dean of Student Life, works under administrative direction, and is a member of the Student Affairs Cabinet. This position is administrative in nature. The director is also the budget authority for the Welcome Center and provides direct supervision of positions related to entry advising, outreach to high schools and the community, and information desk functions. The director performs highly complex work and operates at an expert level.

Pay, Benefits & Work Schedule

Annual Salary Range: $87,469 - $126,878.

Annual salary will be commensurate with candidate's qualifications and related experience.

The employee is scheduled to work 40 hours per workweek. This position is exempt from the overtime provisions of the Fair Labor Standards Act, which means that you are not eligible for overtime pay.

About the Department

The Welcome Center works within Student Affairs providing a single service area for students, the public, and the campus community. The Welcome Center Department provides services related to admission and orientation, entry advising, and outreach to prospective students and the community.

Essential Functions

Client / Customer Services

Support meetings with students and their families to discuss and resolve a variety of issues related to admission, and general concerns or complaints.
Make improvements to department processes or staff training based on nature and frequency of issues, problems, and complaints.
Act as a resource for faculty and staff in other departments on campus who are working with prospective students.
Establish assessment tools and processes to evaluate effectiveness of Information Sessions, Campus Tours, and other entry level services. Analyze data and adjust service levels and protocols appropriately.
Operations Management

Establish an expectation that all employees use a direct transformational service model when working with prospective students and other visitors within Student Affairs, and the Welcome Center, in person, on the phone, email, or via online.
Train staff to focus on the prospective student experience and to take a holistic approach when working with prospective students and other visitors.
Build an effective team that is results driven and characterized by collaboration and cooperation.
Supervise designated full-time staff. Select and hire staff, make recommendations for disciplinary action, approve/deny leave requests, evaluate employee performance on a yearly basis, resolve grievances in consultation with HR, establish office expectations, and take corrective action.
Provide feedback, instruction, and encouragement to staff to enable continuous improvement and to promote optimum job performance.
Organize and provide training as needed to employees and other division staff associated with the Welcome Center.
Participate in the development of staff meetings and training, and chair the staff group meetings.
Planning / Policy / Strategy

Attend yearly national or regional conference related to outreach and orientation council meetings to keep information current and ensure campus compliance with regulations and system changes.
Analyze and evaluate department processes and procedures and implement changes needed to increase efficiency.
Act as the budget authority for the Welcome Center.
Information Services and Statistics

Research and make recommendations that promote the use of technology-based solutions for future and current needs and initiatives and implement this technology when adopted by the campus.
Use technology (CRM, Canvas, video conferencing, etc.) to enhance online processes, improve communication, and to develop effective presentations. Evaluate outcomes and make appropriate adjustments as needed.
Maintain department website, ensuring information is accurate and provides clear instructions related to all department processes. Use Federal Plain Language guidelines for all forms of communication.
Ensure the Welcome Center is compliant with FERPA requirements, and report issues or concerns to the Dean of Student Life.
Service Delivery and Campus Relations

Serve as a member of campus committees as needed to ensure consideration of the Welcome Center needs.
Serve as a member of Student Affairs Cabinet.
Provide training on Welcome Center processes and rules as requested by division or campus departments.
Perform other duties as assigned.

Minimum Qualifications

Bachelor's degree. Relevant years of experience can be substituted on a year-for-year basis in a higher education or community college setting.
Proficient in word processing, data entry, web activities, and written communication.
Demonstrated ability to communicate effectively using Federal Plain Language protocols through spoken, written, and electronic processes, including with those for whom English is a second language.
Knowledgeable of, and work in accordance of, federal, state and college regulations, and policies.
Demonstrated ability to work independently under administrative direction.
Demonstrated ability to use skills needed to complete highly complex tasks including but not limited to data assessment, reporting, using technology platforms (CRM, Canvas, videoconferencing, etc.) to achieve department goals and functions.
Demonstrated ability to work with a team and other stakeholders to create working relationships in collaboration and cooperation to achieve team goals and deliverables.
Experience working with diverse colleagues and students in a collaborative and inclusive environment.
Effective project management and budget management skills.
Effective problem-solving and conflict management skills.
Knowledge on customer/student focused services with the ability to build and maintain student satisfaction with the services offered by the Welcome Center.
Demonstrated ability to encourage staff to grow and succeed professionally through feedback, instruction, and encouragement.
Open to development & continual learning and display an ongoing commitment to learning and self-improvement.

Preferred Qualifications

Master's Degree in student affairs, student development, educational leadership or other related area.
Two (2) years demonstrated experience in administering entry or advising departments in the Washington State Community and Technical College system.
Demonstrated experience in developing efficient and Lean processes at a departmental level.
