Volunteer Manager Position Summary

Looking for a supportive, high-paced, friendly work environment with a chance to make a real difference in Indianapolis? Gennesaret Free Clinics is seeking a full-time Volunteer Manager. The Volunteer Manager is responsible for leading efforts in volunteer recruiting, building and implementing volunteer processes, and increasing communication and engagement with volunteers. Serving as the agency lead for the volunteer program, the Volunteer Manager will be responsible for the volunteers brought into our program and will oversee volunteer recruitment, management, engagement, and recognition activities and strategies.

Gennesaret Free Clinics has a 35-year history of serving individuals experiencing homelessness, those without medical insurance and the medically underserved, providing them access to high-quality, compassionate, and FREE healthcare. Volunteers are an integral part of our organization. We are seeking candidates who can leverage current volunteers, recruit new volunteers, and create new volunteer opportunities within the organization all while providing our volunteers with impeccable customer service and care.

Essential Job Responsibilities

Volunteer Recruitment and Management

· Create a customer-service-focused volunteer recruitment and management program, including the development of volunteer messaging and communication

· Identify and build skills- and interest-based volunteer opportunities throughout the organization, including bilingual/multilingual volunteer recruitment

· Manage and optimize the scheduling of volunteers to ensure staffing of all clinics and other volunteer opportunities

· Manage and optimize the credentialling process for onboarding/recertifying volunteers

· Develop an “always available” approach to recruitment that leverages technology, such as automation, live chat, chatbots, easy-to-follow informational videos, FAQ pages, etc.

· Design and implement a robust training program for volunteers, including initial and ongoing training

· Submit annual Federal Torts Claim Act (FTCA) deeming application

Volunteer and Donor Engagement

· Create and implement a volunteer recognition and appreciation program, such as a rewards system for volunteers and appreciation activities/events, to recognize volunteer contributions to the organization

· Source and integrate technology that enhances a high-touch brand experience and nurtures volunteer relationships, using a constituent relationship management (CRM) platform to complete and track daily contacts and tasks

· Coordinate and cultivate communication with and between clinic staff and scheduled volunteers to coordinate meaningful experiences during volunteer shifts

· Work with the Development team to implement a comprehensive strategy and program to transition volunteers to donors

Corporate Engagement and Community Outreach

· Develop and manage volunteer opportunities for corporate partners to increase corporate engagement, further develop corporate partnerships and sponsorships, and increase community awareness and support

· Host presentations to prospective organizations and companies and attend community engagement fairs to recruit and engage additional volunteers

· Develop and manage volunteer committees for fundraising events and other assigned functions

· Collaborate with the person/organization in charge of each special event to identify volunteer needs of special events, including health fairs and fundraising events

· Staff, or recruit volunteers to staff, special event efforts as assigned, including assistance with special event set-up and tear-down

Data Collection and Analysis

· Leverage technology to create a data-driven approach to recruiting, scheduling, and cultivating volunteer experience

· Consistently analyze, interpret, and report data, trends, challenges, and opportunities that affect the volunteer program’s recruitment and retention efforts

· Maintain accurate, thorough, and accessible records for all activities and goals in volunteer CRM

· Review volunteer activity daily, summarize and report out weekly, and demonstrate progress toward volunteer program goals monthly

· Create and distribute volunteer surveys in order to inform decision making

· Provide reports monthly to be integrated into monthly reports given to the Board

· Work with the Development team to import relevant volunteer data into donor CRM

Other Job Duties

· Adhere to the Association of Fundraising Professionals Code of Ethical Principals and Donor Bill of Rights

· Other duties as assigned by leadership

Education and/or Experience

· Minimum 1-3 years of experience in volunteer management, relationship management, and communications required.

· Experience in customer service and communications is required.

· Bachelor's degree from an accredited college or university in nonprofit management, interpersonal communication, human resources, or a related field preferred.

· Certified in Volunteer Administration (CVA) certification is desired.

· Experience working with under-resourced populations, including individuals experiencing homelessness and/or poverty, is desired.

Knowledge, Skills, and Abilities

· Possess superior organizational and administrative skills.

· Demonstrated ability to leverage interpersonal skills and create meaningful relationships.

· Excellent computer skills, including proficiency in Microsoft Office Suite.

· Ability to work independently and achieve ambitious standards of productivity, achieving deadlines and with superior product results.

· Strong calendaring, organizational, and document management skills.

· Proactive approach to solving problems and communicating to leadership.

· Knowledge of office management systems, procedures, and office equipment.

· Excellent time management skills and ability to prioritize work.

· Experience with a CRM system; experience with Bloomerang and Galaxy Digital is preferred.
