DEPARTMENT OVERVIEW

The Seymour Marine Discovery Center (SMDC), founded in 2000, serves as the outreach and public education component of the Institute of Marine Sciences at the University of California, Santa Cruz. The SMDC educates people of all ages about marine science research and ocean conservation. The Center consists of a 17,500-square-foot facility with additional outdoor features on a cliff above the Pacific Ocean located on the UC Santa Cruz Coastal Campus.

JOB SUMMARY

Under supervision, the incumbent is the overall administrative coordinator of the Seymour Center's volunteer program. This position serves as a frontline marine science educator and provides direct support to the Visitor Programs Department for the daily delivery of marine science programs to the public.

The incumbent prepares and presents educational programs independently or as part of a team, including material organization, setup and general administration. The incumbent contributes to program development and evaluation as part of a team or under guidance of higher level museum educators, and mentors other educators and volunteers.

APPOINTMENT INFORMATION

Budgeted Salary: $26.87 - $30.84/hour. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

70% - VOLUNTEER PROGRAM ADMINISTRATION AND COORDINATION
  • Serves as administrative coordinator for more than 200 volunteers. The incumbent works closely with all Seymour Center program managers who directly train and supervise these volunteers in their daily work.
  • Works with managers to identify program needs, building a diverse volunteer work force for the Center. Makes presentations to community groups and coordinates internship program recruitment with UCSC main campus.
  • Provides volunteers with written job descriptions, procedures, and expectations. Ensures timely information flow between departments and volunteers. Provides general orientations for all volunteers.
  • Manages volunteer database, personnel files and electronic mailing lists. Prepares regular reports regarding volunteer hours and activities. Ensures compliance with university volunteer guidelines.
  • Works with program managers to schedule volunteers
  • Maintains volunteer enthusiasm, interest, and commitment. Coordinates annual volunteer recognition activities and drafts letters of recommendation and/or appreciation.
  • Oversees formal exit interview/evaluation and acknowledgement process. Assists program managers with implementing volunteer discipline and separation policy.
  • Coordinates volunteer council. Assists with filling council positions and coordinating specific council activities. Utilizes council as a sounding board for developing future policies and programs.

20% - VISITOR PROGRAMS PROGRAM DELIVERY AND SUPPORT
  • Serves as a frontline educator and provides direct support to the Visitor Programs Department for the daily delivery of marine science programs.
  • Acts as a resource during open hours; coordinates outdoor tours of marine lab facilities and manage exhibit hall volunteers. Briefs docents and exhibit guides for each shift; works with admissions staff regarding tour coordination and daily troubleshooting; leads tours or presents programs as needed, and provides daily visitor hall maintenance/upkeep.
  • Assists with program planning, development, and promotion, including implementing exciting, hands-on interpretation for the Seymour Center visitor hall and aquarium
  • Assists with purchasing/maintaining resources and materials, sets up/cleans up program/event spaces.
  • Assist with planning, development, and implementation of Visitor Programs volunteer trainings
  • Leads administrative tasks including registration, volunteer interviews, confirmation packets, and preparation of training materials.

10% - SEYMOUR CENTER GENERAL OPERATIONS
  • Assists with other programs and operations as needed.
  • Regularly recruits, hires, and supervises college student employees or interns in both Volunteer and Visitor Programs work.
  • Participates as a team member to plan and implement Center-wide ongoing events and activities.
  • Provides back-up phone reception for business office or admissions desk.
  • Picks up or delivers supplies/materials in the local community, driving a university vehicle.

REQUIRED QUALIFICATIONS
  • Bachelor's degree in marine biology, environmental studies, science education or other comparable field and / or equivalent experience / training.
  • Experienced in the daily operations of a fast-paced, public setting such as a visitor center, aquarium, or museum.
  • Experience solving problems and making sound decisions in a fast-paced public environment.
  • Strong familiarity with marine ecosystems of the Central California Coast.
  • Experienced in scheduling and coordinating logistics for people and events - especially day-to-day, hands-on support for a large volunteer program.
  • Excellent interpersonal and customer service skills to provide information in a welcoming, professional, and positive manner, for ongoing or prospective volunteers of all age and skill levels, K-12 students, and the diverse visiting public.
  • Organized and detail oriented with demonstrated ability to produce accurate work and keep detailed records.
  • Ability to exercise discretion, tact, sensitivity, and maintain confidentiality.
  • Experience developing and presenting effective science education activities for children and adults in museum or field setting, including creating hands-on activities.
  • Time management skills to prioritize work and deadlines; ability to be productive in an environment with frequent interruptions.
  • Strong computer skills. Knowledge of word processing, database, spreadsheet, e-mail communications, and various software programs used in a business setting such as tracking, purchasing, or timekeeping.

PREFERRED QUALIFICATIONS
  • In-depth knowledge of Filemaker Pro database program including ability to create layouts and reports.
  • Bilingual in Spanish/English.
  • Experience working with and organizing volunteers; experience recruiting and developing a highly trained volunteer corps.

SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Must possess a valid license to drive in the state of California, and be subject to a driving record review.
  • Ability to work long periods of time at a computer with or without accommodation.
  • Will be required to work all scheduled hours on-site.
  • Ability to work overtime including evenings, nights, weekends and holidays to meet operational needs, and work an alternate work schedule shift as required.
  • Must be willing to work one or both weekend days as a regular schedule.
  • Must be willing to work occasional evenings as necessary.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Must be able to lift 50 pounds to shoulder height and physically access exhibit and service areas.
  • Must be able to work outdoors in windy or inclement weather.
  • Must be willing to wear a Seymour Center uniform.
