JOB SUMMARY

The Treatment Plan Coordinator will phase treatment plans, go over treatment with patient, and schedule treatment. We are looking for a candidate with at least 1 year of dental front office experience who has a general knowledge of dental insurance and dental codes. You must have a energetic personality. This position requires attention to detail, and you must have patience with patients while discussing their treatment plans. Our patients are our #1 priority and taking care of them while showing care and concern is a must.

QUALIFICATIONS

Essential Duties

  • Reviews treatment, insurance and financial responsibility with patients along with scheduling treatment.
  • Call specialists to schedule patients who are being referred for treatment outside of our office.
  • Answer telephone (secondary)
  • Call in PREMEDS for patients as needed. All PREMED and Blood Thinner instructions will need to be obtained from the patient’s appropriate physician. Scan them into the patient record and create alerts on the patient account.
  • Monitor the schedule and fill appointment openings using the ASAP or Unscheduled list.
  • Keep the staff and doctors informed of any scheduling concerns.
  • The Treatment Plan Coordinator will serve as back up for the Front Office Associate when needed.
  • Administer pre-authorization of insurance benefits.
  • Maintains patient confidentiality and takes every precaution to secure electronic Protected Health Information (PHI) under HIPAA.
  • Input and phase treatment plans.
  • Present treatment options with patients and schedule appointments.
  • Collect full payment for IV sedation cases and schedule treatment appointments.
  • Educate patients about different finance options such as Care Credit & Sunbit.
  • Clean up and reject old treatment plans.
  • Monitor the schedule and fill openings on the doctor’s schedule from the ASAP or Unscheduled treatment lists via Dental Intel/Dentrix.
  • Other related duties as assigned.
Requirements:

Knowledge/Skills/Abilities

  • Knowledge of English composition, grammar, spelling and punctuation. *It is important for you to be well spoken & understand proper phone etiquette*
  • Skilled in the use of basic office equipment such as: telephones, calculators, copier, fax, computers and computer software (MS Excel, Word, Practice Management software).
  • Ability to be professional and maintain composure when dealing with stressful situations.
  • Ability to cooperatively work with the doctors, co-workers and patients and build relationships of trust.
  • Maintain confidence with the patient regarding doctors and staff.
  • Ability to prioritize, organize and complete tasks timely.
  • Ability to accept constructive criticism.
  • Ability to understand and follow written and verbal instructions.
  • Ability to collect data, establish facts and maintain confidentiality.
  • Ability to communicate and express thoughts and ideas clearly and competently.
  • Ability to quickly grasp relevant concepts regarding duties and responsibilities.
  • Greet visitors and patients professionally and courteously.

Education/ Experience

  • High school diploma or equivalent
  • Dental experience is a must.
  • Dentrix experience preferred.

Physical/ Environmental Requirements

  • Must be able to lift up to 35 pounds.
  • Must be able to hear staff on the phone and those who are served in-person, and speak clearly in order to communicate information to patients and staff.
  • Must be able to read memos, computer screens, personnel forms and clinical and administrative documents.
  • Must have high manual dexterity.
  • Must be able to reach above the shoulder level to work, must be able to bend, squat and sit, stand, stoop, crouch, reach, kneel, twist/turn.
