Position Summary

Under general supervision, the Support Services Specialist I will be responsible for keeping all records confidential and complying with credit union privacy policies, procedures, and regulations. The Support Services Specialist I receive and retrieves all records including daily mail and conducts research. Works independently to maintain the credit union records and support all credit union staff.

Essential Functions Include:

  • Handles the receiving and processing of all incoming and outgoing credit union mail (US Mail, Priority, Certified (signature required), FedEx, and UPS), including the proper handling/ distribution of incoming mail checks to the Retail department. File and log any documents entering or leaving the area. Secures all mail items remaining at the end of each workday in the vault.
  • Performs the electronic import of documents received from other departments into Laser Fiche (archive system) ensuring work is complete, accurate and of high quality. Maintains a timely process of the Opening Act and XA (New Account Portal); validating metadata and verify status, ensuring easy retrieval. Assist with the process of DocuSign, LPQ, Mortgagebot, and Indirect Loans Booked.
  • Maintains the active mortgage files by tracking and filing. Pulls paid off mortgages and attach the Satisfaction of Mortgage to the file.
  • Handles the Returned Mail Process. Sort mail and update the account record with a No Mail flag using a Spec File.
  • Collect requested documents for Manager review in response to subpoenas and other types of investigations.
  • Collects, sort, prepare, scan, label and enter daily (physical paper) and backlogged documents (merged documents), converting them into electronic files ensuring easy retrieval.
  • Maintains the cleaning of all office equipment, while keeping an orderly area. Report any problems or maintenance requirements to the Team Lead.
  • Provides Support to the Member Services, Front Line, and back-office departments through Help Desk Tickets.
  • Attends meetings, takes continuing education classes and training for personal development and Credit Union required courses
  • Performs other job-related duties as assigned.

Required Education and Experience:

  • High school diploma or G.E.D. required.
  • 1-year of similar or related experience preferred.

  • Strong time management and organizational skills. Ability to multi-task under pressure.
  • Self-reliant, critical thinker, problem solver, results oriented.
  • Excellent verbal and written communication skills. Able to communicate effectively and tactfully with employees and members both orally and in writing.
  • Proficient in Microsoft Word, Power Point, Excel and Outlook. Excellent technical aptitude.
  • Must demonstrate a functional knowledge of the Bank Secrecy Act in addition to other Federal laws, including but not limited to U.S. Patriot Act, Office of Foreign Assets & Control, Anti-Money Laundering, Right to Financial Privacy Act, and the Bank Bribery Act.

Work Environment:

This job operates in an office setting and routinely uses standard office equipment. This position include limited remote work.

Physical Requirements:

Frequent sitting, standing, bending, and occasionally moving objects such as boxes and storage items up to 50lbs.
