DEPARTMENT DESCRIPTION:
CHA Cambridge Hospital is one of two CHA acute care hospitals north of Boston, MA. It is located between Harvard and Inman Square. Key services include 24-hour Emergency Care, Maternity, Mental Health care, Primary Care, Specialty care, Surgery and overnight hospital care.

Summary:
  • Under the general supervision of the Patient Access Manager (may be campus specific), supervises activities of all evening and weekend employees, primarily part time and per diem staff (approximately 20 FTEs).
  • The supervisor is responsible for completing staff schedules and ensuring sufficient coverage is in place for the department.
  • This may include staffing and supporting other areas as needed.
  • This is a working role that may also require the supervisor to fill in as needed when front line staff are not available and to provide overall support for each campus location.
  • The supervisor monitors staff performance and quality outcomes by ensuring that staff comply with department policies and provide high quality customer service.
Responsibilities:
  • Oversees and observes weekend and evening staff to ensue that high Quality customer service is consistently provided
  • Oversees and monitors staff to ensure compliance with department and system policies
  • Offering assistance to inpatients with completion of health care proxies
  • Requesting co-payments from all appropriate patients and compliance with collection and reconciliation related hospital policies
  • Completion of appropriate registration process to ensure accurate demographic and insurance data is collected.
  • Accurate identification of patients based on 2 patient identifiers
  • Completion of death certificate process
  • Completes the registration process for Labor and Delivery and Birth Center patients as a high priority
  • Receives phone calls from nursing floors and completes the requested actions (discharges, transfers, temp locations)
  • Views CH/Admit emails and other communication vehicles to make timely and accurate changes to things such as the PCP, Attending and patient service
  • Views Case Management Admitting work list on ClinTrac and completes status changes and payer notification as required
  • Educate/train staff on new or revised processes.
  • Maintains continuing education for staff.
  • Monitor staff to ensure that new processes are effectively implemented
  • Provide a resource to staff at all campuses regarding appropriate registration activities to ensure that patient data is available to providers on EPIC and to avoid any related delays in patient care
  • Fix accounts related to Meditech-EPIC interface issues and work with IT Help Desk to resolve issues in a timely manner
Generates and works multiple reports:
  • MT - Registration Error report
  • MT - In-house ED Census
  • MT - Default report
  • MT - Pre-Accounts by Location
  • MT - Nursing Census report
  • Other Epic, Meditech, Med Assets or other reports as needed
  • Creates staff schedules including vacation and sick time replacements and manages the on-call list
  • Completes performance evaluations in collaboration with manager
  • Ensure timely admissions notification on weekends to payers that require notification within 24 hours of the admission
  • Audit consent form compliance by viewing medical records in the ED and on nursing floors
  • Audit registration data quality to ensure accuracy of co-payment codes, health care proxy codes, etc.
  • Participates in performance improvement initiatives and demonstrates the use of quality improvement in daily operations
MINIMUM QUALIFICATIONS:
Education/Training: High school education with Bachelor’s Degree in healthcare or management preferred

Work Experience:
  • Prior experience with management of medical information, hospital information systems and other tools in patient care, particularly with Epic and Meditech systems.
  • Solid micro computing skills including working knowledge of Microsoft Office programs, including Excel, Word, PowerPoint or similar programs
  • 3+ years progressive experience in a similar healthcare setting in a supervisory capacity
  • Prior experience in completing all facets of registration and pre-registration, insurance verification, copayment determination, and other related services
  • Experience with industry standard tools and various levels of automation including NEHEN (New England Healthcare Eligibility Network), data quality systems such as MedAssets / XClaim, and other web based products
  • Ability to facilitate and resolve issues in a thoughtful, customer oriented fashion
  • Demonstrated ability to take initiative with strong problem solving skills required
