Responsibilities


SUMMARY OF JOB DUTIES: Generates, manages and updates master schedules for the Nursing and/or Social Services Department, while making adjustments as needed, according to budget constraints, census fluctuations, call outs, and pre-planned leaves of absence. Establishes and maintains a professional relationship with the administrative and clinical staff.

JOB REQUIREMENTS
  • Utilizes computer software to prepare, change and update the master schedule via Shifthound scheduling system.
  • Updates Shifthound daily to reflect Call Outs, PTO, etc. .
  • Monitors daily staffing report according to staffing grid.
  • Prepares a 6 week schedule based on a specified staffing pattern.
  • Reviews master nursing schedule for staffing deficiencies and coordinates optimal utilization of available staff.
  • Replaces call outs in a prompt manner. During scheduled shifts, covers staff shortages, if any, including second shift, third shift, and weekends.
  • Call ins will be handled by staffing coordinator during scheduled hours and after hours call ins will be handled by departmental shift supervisor.
  • Communicates with the evening, night and weekend supervisors about all staffing issues and needs.
  • Schedules orienting staff with preceptors as directed for orientation and follows through the orientation process.
  • Assists in scheduling staff for CPR & HWC to ensure they maintain their current certification.
  • Reviews and reconciles weekly time for nursing and social services staff and corrects in Kronos.
  • Monitors staff absenteeism and tardiness and reports promptly to appropriate unit coordinator, supervisor, or department head.
  • Maintains effective communication with Human Resources regarding employee concerns, changes, etc.
  • Successfully completes all required trainings via in services and/or Healthstream in a timely manner

Qualifications


JOB QUALIFICATIONS

Education: High School Diploma or GED, preferably an Associate’s degree in related field

Experience: Experience and knowledge of organizing and managing the master schedule plan for clinical staffing; effective time management and organizational skills, preferably in a hospital setting and 2 years of experience.


WORK ENVIRONMENT

Effective written and oral communication skills; experience and knowledge of organizing and managing the master schedule plan for clinical staffing; effective time management and organizational skills; ability to meet deadlines and to guard information as confidential; customer service skills, word processing skills, legible handwriting, problem solving skills. Knowledge of department and personnel policies. Skill in oral and written communication, organizational skills, time management, and interpersonal skills. Must possess knowledge of general and psychiatric nursing processes, therapeutic relationships and processes, crisis and behavior management, knowledge of hospital admissions functions, crisis intervention and risk assessment. .
Possible exposure to psychiatric patients who may exhibit violent/aggressive behavior; potential exposure to communicable diseases, blood/body fluids and other hazardous waste. Ability to exercise self-control in potentially volatile situation such as being verbally or physically confronted in a threatening or aggressive manner. Must be able to work and concentrate amidst distractions such as noise, conversation and foot traffic. Ability to handle interruptions often and be able to move from one task to another. Must be flexible and not easily frustrated in dealing with differences of opinions. Able to assist in patient restraints and seclusions.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to have full range of mobility in upper and lower body; be able to reach overhead; be able to work in various positions, including stooping, standing, bending over, sitting, kneeling and squatting for extended periods of time; be able to lift, pull and push materials and equipment to complete assigned job tasks; and be able to frequently lift 50-100 pounds of weight throughout the assigned workday.

Ability to express and exchange ideas via spoken language or important spoken instructions to others accurately, sometimes quickly and loudly. Hearing to perceive sound with no less than 40 db loss @ Hz,1000 Hz, and 2000 Hz with or without correction; ability to perceive detailed information through oral communication and to make fine discriminations in sound. Perform repetitive motions with wrists, hands and fingers.

Work requires a minimum standard of visual acuity with or without correction that will enable people in the role to complete administrative and clerical tasks and visually observe patients on the unit and in therapeutic activities. While worker may possibly be subjected to temperature changes, the worker is generally not substantially exposed to adverse environmental conditions as the work is predominantly inside.
