Position Title: Staff Training Coordinator
Location: Austin, TX (South)
Reports To: Health Services Learning and Operational Effectiveness Leader
Grade: N-6
Employment Status: Full-time, Non-Exempt

Summary:

    • The Staff Training Coordinator will assist the Health Services Learning and Operational Effectiveness Leader in the planning, and implementation of internal onboarding training programs, policies, and procedures. This position collaborates with Health Services Learning and Operation Effectiveness Leader to support the Health Center Managers, and Health Center Assistants to provide classroom, on-site training and guidance to empower staff to be effective members of the Health Services team. Abides by the organization’s mission in performing job duties.Demonstrates an understanding of and commitment to quality healthcare and excellent customer service.

Essential Job Functions & Expectations

    • Performsand trains staff to perform a variety of responsibilities in direct patient care including but not limited to: greets patients promptly and in a welcoming manner, provides high quality care, interviews patients and obtains complete medical history information, provides education to patients regarding the purpose of their visit, performs patient check-in and check-out, accurately updates patient charts and records, confirms that all medication, equipment and supplies are stocked in health center including sterile instruments, assists with patient discharge instructions, etc.
    • Adheres to and trains others to adhere to the medical standards and guidelines as applicable.
    • Practices a customer-oriented approach to healthcare delivery as demonstrated by interactions showing respect, knowledge, responsibility, compassion and access to care.
    • Trains staff to provide information about medical services and referrals, answers questions about birth control, health and pregnancy in a non-biased, non-judgmental and non-directive manner.
    • Trains staff to provide comprehensive education, options counseling and support in a caring, non-judgmental, factual manner, allowing client to make informed decisions regarding birth control, health and pregnancy.
    • Trains staff to provide accurate information regarding methods of contraception, sexually transmitted infections, urinary tract infections, breast lumps, and methods of birth control, teen sexuality and general healthcare.
    • Conducts training for practice management/electronic medical records (PM/EMR) including initial training and any on-going training as needed for health center team members.
    • Understands and complies with regulations from all governing entities and health center protocols including but not limited to Patient Rights, Child Abuse identification and reporting, infection control, laboratory protocols, emergency evacuation, risk management, and Occupational Safety and Health Administration (OSHA), safety standards.
    • Exemplifies and is able to coach others in Planned Parenthood customer services standards.
    • Handles lab specimens per organization protocols and performs laboratory testing as required by Clinical Laboratory Improvement Amendments (CLIA) when ordered by the clinician.
    • Executes a training program that enables non-licensed health center staff to effectively learn operational processes, service standards, provide appropriate support to clinicians/providers, and understand PPGT systems including the organization’s Electronic Practice Management and Electronic Health Records systems (EPM/EHR).
    • Evaluates current processes and identifies operational improvements to increase efficiency; assists in developing a systems-based approach for non-licensed staff.
    • Delivers health services training curriculums, course content, and materials.
    • Works with Health Center Managers to monitor progress of new hires throughout the on-boarding period to ensure needs are met and training documentation is maintained.
    • Works to identify employee competency and skill gaps for health center staff, provides feedback regarding possible areas of improvement, and develops tailored training to meet the assessed needs as appropriate.
    • Provides on-site training and mentoring for Health Center Assistants.
    • Evaluates performance and effectiveness of health services training programs, provides recommendations for improvement.
    • Assists in the creation and updates of a training manual for health center assistants.
    • Assists in the creation and facilitation of initial and ongoing training initiatives to inform and advise staff of practices and procedures.
    • Maintains current knowledge of training techniques, adult learning styles as well as reproductive healthcare, contraceptive methods, Sexually Transmitted Infection (STI) testing, and other services offered by the organization.
    • Makes recommendations to implement improved processes.
    • Contributes to training policies and schedules utilizing knowledge of identified training needs, business systems, or changes in products, procedures or services.
    • Documents training completion and ensures records are maintained per organization requirements.
    • Has unrestricted access to patient protected health information (PHI) on paper and electronic forms health records for purposes of treatment, payment, and/or healthcare operations. The use of a patient’s protected health information should be limited to information needed for the specific task that is being performed or requested by the individual patient. Disclosure of any patient information must be for purposes of treatment, payment or healthcare operation OR must be accompanied by a valid patient authorization. Must adhere to minimum necessary rule.

Minimum Education/Experience:

    • H/S Diploma or equivalent and 4 years related experience. Bachelor’s degree or Associate’s degree may be substituted for up to 2 years of related experience. Related experience: direct patient care experience in a health care facility (e.g. medical assistant, patient care technician, CNA, phlebotomist) or relevant employee training experience. Planned Parenthood experience preferred. Electronic Practice Management system or Electronic Health Records system experience preferred (EPM/EHR).

Required Licenses or Certifications:

    • Medical Assistant Certification or Phlebotomist training preferred. Must be able to obtain and maintain BLS CPR certification.

Must be able to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects.
