This position will report directly to the OnSite Service's field office located in Boise, ID. This position after training will transition to a Hybrid type schedule.

SUMMARY OF JOB PURPOSE:

Service Administrator for our local service division of On-Site Services.

The Service Administrator is principally responsible for the daily coordination of shop work orders for our critical customers in the Local Service Shop division. The Service Administrator or Service Writer works closely with the service manager, foreman, and customers to coordinate and schedule work in our local shop. The Service Administrators also work closely with our inventory administrators to ensure that parts needed by our service team in the shop are being properly sourced and tracked to open work orders for proper billing.

ESSENTIAL FUNCTIONS: (Position may include additional functions not listed.)

  • Demonstrate a professional attitude, conduct and appearance.
  • Establish and maintain good relations with On-Site Services’ customers.
  • Execute defined processes to ensure high quality / accurate management of work orders throughout the life cycle of the work order (open, update, audit, close)
  • Ensure that shop the shop service team are properly accounting for time worked to ensure that a high technician efficiency is achieved for each open work order; communicate regularly service foremen to ensure that time is properly captured and coded
  • Maintain accurate record keeping of transactions, customer communications
  • Coordinate with the inventory and parts procurement team to ensure all costs are properly captured and billed to the correct customer and work order
  • Perform other assignments and duties as assigned
  • Perform Warranty administration and management in accordance with various manufacturer warranty programs
  • Assist the the management and maintenance of our internal fleet

QUALIFICATIONS: (Required knowledge, skills, abilities, education, experience, etc.)

  • High school diploma, or equivalent, preferred. Continuing education in relevant fields is also welcome (business administration, MIS/CIS)
  • Experience or background in heavy equipment maintenance and repair or related industries is required– particularly in automotive service, heavy equipment service and repair, automotive parts retail
  • Excellent attention to detail and accuracy as well as ability to multi-task
  • Must be self-motivated and persistent / thorough in completing tasks
  • Strong verbal and written communication skills required – typing at a 30-50 word per minute level is required. Strong telephone skills / communication required
  • Capable of operating software systems, Point of Sales systems. Must be computer-literate at a minimum intermediate level. Strong preference for candidates that have good experience as an intermediate level user of MS Excel
  • Capable of recognizing and distinguishing letters and numbers (both visually and orally) and remembering their sequence.

PHYSICAL & OTHER REQUIREMENTS:

  • Capable of lifting and moving merchandise of up to 50 pounds.
  • Ability to learn to operate material handling equipment, including hand trucks, barrel dollies, hydraulic lifts, fork lifts, telehandlers, etc.
  • Ability to bend or stoop to floor-level shelves and be able to reach upper shelves (eight feet) with use of stool or ladder when necessary.
  • Ability to speak clearly and listen attentively.

COMPENSATION AND EXPERIENCE:

  • We are seeking an experienced service administrator from the automotive or heavy equipment industries. This will be a key focus of any application reviews
  • Compensation will be aligned with the experience of the individual hired
  • We are willing to train an experienced Shop or Field Service technician that has worked for several years in the heavy equipment industry and is looking to transition out of the hands-on side of the business to the administrative side of the business.

Pay: From $20.00 per hour
