Job Summary:

Performs responsible secretarial and administrative support duties for the Office of Social Services. Specific tasks and responsibilities are assigned by the Social Services Manager. The Secretary position is located in the Office of Social Services. The Secretary/Case Aide is responsible for the completion of the following specific duties in addition to providing general secretarial and administrative/case support to the Office of Social Services staff:

Duties & Functions:

· Maintain all client files and records.

· Maintain access of electronic versions of client files and records.

· Complete case/progress notes in regard to any specific involvement in client cases.

· Type a variety of narrative and tabular material and reports.

· Serve in the capacity of Social Services Secretary in the absence of the Secretary.

· Provide client transportation (as directed by the Social Services Manager) to both local and out of area destinations for the purpose of coordinating visions and medial/mental health treatment/placement.

· Order and organize program supplies and equipment under the supervision of the Social Services Manager.

· Assist with the verification of enrollment status of ICWA cases.

· Assist with application submittal for client birth certificates.

· Assist the Social Services Manager in preparing monthly, quarterly, and annual reports.

· Other duties may be assigned at the discretion of the Social Services Manager or designee to fulfill the Department's needs, objectives and/or goals.

· Follow established Tribal policies and those outlined in the Colorado River Indian Tribes Employee Handbook.

Required Skills and Abilities:

· Maintain client confidentiality in compliance with the provisions of the Healthcare and Insurance Portability and Accountability Act (HIPAA).

· Must be able to complete the assigned duties as described herein.

· Must have experience in the use of modern office equipment and personal computers.

· Must be proficient in the use of Microsoft Office software (especially Microsoft Word and Outlook).

Education & Experience Requirements:

· High School Diploma or G.E.D.

· Two (2) years of responsible secretarial or receptionist experience.

· Two (2) years of responsible experience in a child care, mental health, or social service setting working with children or child case supervision or equivalent combination of education and experience.

· Must possess a current valid driver's license throughout employment.

Physical Requirement:

· Must successfully complete a drug screening test prior to appointment.

· Physically able to perform duties assigned.

· Occasionally work extended shifts as assigned, some weekends and holiday.

Pursuant to this Policy, applicants who possess the knowledge, skills, and abilities required by this position, and who are enrolled members of the Colorado River Indian Tribes will be given primary preference in hiring and employment for this position. Let it be known that Tribal preference is integrated into the interview and scoring process for candidates for job positions.

Background Investigation: This position may be subject to a criminal history background check, a suitability background check and/or a Fair Credit Reporting Act (FCRA) check. In addition, some positions are subject to a 101-630 background check in an effort to ensure compliance with Public Law 101-630 "Indian Child Protection and Family Violence Prevention Act." Candidates must be able to successfully pass all required background checks to qualify for this position.

Drug Screening: All applicants must successfully pass a pre-employment drug screening prior to beginning employment and will be subject to random drug testing per the CRIT Employee's Handbook, Substance Abuse Policy.
