Responsibilities:
Under the direction of the Director of Flex Staffing Resources, the Scheduling and Timekeeping Business Partner is responsible for overseeing the use of Community Health System's (CHS) scheduling and timekeeping system, including but not limited to the development of organizational best practices for usage, program performance, development of new processes and procedures, cost saving measures, compliance, and user training and support.

Acting as a strategic and collaborative partner with department leaders, this position ensures for proper and timely completion of scheduling and timekeeping functions to help meet the organizations staffing needs in a streamlined format. Responsible for partnering with leaders at all levels to achieve optimal staffing schedules which meet patient care and organizational requirements. Overall, this position is a UKG Kronos Dimensions application subject matter expert and is a change agent to support ongoing, appropriate use of UKG Dimensions.

Accountabilities

1. Works directly with department leaders on schedule development, including defining baseline needs, skills/certifications required, and number of staff needed per shift to develop accurate scheduling. Functions as a contact person for leaders on questions/issues related to timekeeping and scheduling functions.

2. Develops and advises leaders on shift templates and/or self-scheduling to department staff. Assists managers, supervisors and schedulers to create optimized and consistent scheduling practices based on policy.

3. Notifies Clinical Staffing Office and unit leaders of inaccurate and/or incomplete schedules based on requirements of internal policie(s). Ensures departments meet all scheduling deadlines and requirements.

4. Provides day-to-day oversight of functional system support. Managing of data correction process, including inputting updates and utilization of correction data for process improvement.

5. Responsible for the development of training and other materials and communications to instruct and inform users at all levels on system, including changes and enhancements, development of user-guides and job aids for various functionalities.

6. Provides education to new and existing managers, supervisors, and schedulers on timekeeping and scheduling philosophies, advanced applications, and tools usage.

7. Maintains relationships with UKG Dimensions "Customer for Life" program and CHS ITS to implement enhancements and upgrades. Stays current with new software enhancements and upgrades. Oversight of prioritization, testing and implementation of system enhancements.

8. Reviews timekeeping reporting to identify trends, compliance issues and deficiencies. Clearly and concisely communicates and coordinates timekeeping and scheduling activities with managers and staff.

9. Monitors weekly organizational performance and compliance and accuracy of both scheduling and timekeeping system.

10. Partners with key CHS stakeholders, at all levels, to understand business requirements and translates into recommended system functionality.

11. Troubleshoots issues identified by users and implements corrective actions. Reports issues/bugs to CHS ITS and/or software vendor and collaborates on solutions.

12. Partners with other CHS departments to create dashboard reports related to utilization and productivity at an organizational and department level. Accountable for producing reports, metrics, ROI within scheduling, timekeeping and application usage.

13. Functions as a change manager/change agent within CHS to design and implement new enhancements and tools; including introductory and advanced training and development of end users.

14. Performs miscellaneous job related duties as assigned.

Qualifications:
Education
  • Bachelor's Degree required
  • High School Diploma, High School Equivalency (HSE) or Completion of a CHS Approved Individualized Education Plan (IEP) Certificate AND 5 years of experience managing timekeeping, scheduling or other software applications may be substituted for the Bachelor's Degree and experience requirement
Experience
  • 1 year of experience managing timekeeping, scheduling or other software applications required
  • Experience with UKG Dimensions (Kronos) or other timekeeping/scheduling systems, spreadsheets and Tableau preferred
  • Experience with training groups of employees in a classroom, virtual and/or 1:1 setting preferred
