About the Job
We are looking for full-time Patient Services Representative for our Tots to Teens Dental Group.

The person must have the natural ability and desire to build relationships with our patients and to always put them at ease. Our staff members understand the importance of exceptional service and have a desire to treat everybody they meet with dignity and kindness. Seeking highly motivated experienced Billing Coordinators, Insurance Coordinators and Scheduling Coordinators to work in our high paced Patient Services Department. Duties include but are not limited to sending claims, collecting payments, working with both patient and insurance accounts receivables, verifying patient's insurance eligibility and benefits with insurance companies, entering the patient's benefits and updated coverage into the Open Dental Software, Scheduling appointments and filling the schedule according to the Tots and Teens scheduling guidelines.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS
  • Standing 5%.
  • Sitting 95%.
  • Moderate noise levels from surrounding team members
  • Business office setting
  • Minimum moving requirements of 25 pounds in order to transfer supplies in office after delivery
  • Constant patient and interoffice personnel interaction as this position is heavily dependent on excellent customer interaction.
  • Exceptional hand dexterity and typing skills to work with standard software programs provided.
  • Hearing – Must be able to hear telephonic equipment and comfortably communicate with patients and others by telephone and in person.
  • Near Vision—the ability to see details at close range (within a few feet of the observer) as view the computer screen daily
  • Physically able to climb up and down two flights of stairs multiple times a day as needed
RESPONSIBILITIES
  • Excellent computer skills and ability to use practice software systems
  • Memorize and use scripts effectively over the phone
  • Manage the schedule according to the appointment scheduling guidelines and ensure all hours are schedule efficiently and to production goal
  • Schedule, change, and/or cancel appointments using the Open Dental Software
  • Obtain all pertinent information for the appointment to include insurance information
  • Notate all calls in Open Dental Software appropriately
  • Leave messages and relay information to offices and other departments accordingly
  • Make confirmation calls and utilize Lighthouse as needed
  • Contact all missed appointments patients to reschedule
  • Apply correct dental codes to all appointments to coordinate with insurance
  • Generate recall and treatment lists to fill the schedule
  • Knowledge of Medicaid guidelines and ability to verify eligibility via web portals
  • Maintain regular attendance and adhere to assigned work schedule and office policies
  • Maintain communication with offices and other Patient Services departments i.e. chat, email and phone
  • Must always represent the practice and company in a professional, pleasant, and cooperative manner
  • Learn to operate new office technologies/protocols as they are developed and implemented
  • Must be able to work both independently and cooperatively in team settings
  • Occasionally there may be some travel, by car or plane, required in order to participate in continuing education or seminars
  • Other duties and tasks, as assigned periodically
LEAD RESPONSIBILITIES
  • The Lead Scheduling Coordinator is responsible for the daily direction of the team and special duties
  • The Lead Scheduling Coordinator should ensure proper phones coverage on Saturday, late weeks, and/or to cover vacations
  • Responsible for checking the schedule daily for accuracy, capacity, and any issues
  • The Lead Scheduling Coordinator should ensure the team is running efficiently and on task
  • Responsible for informing the Patient Services Manager of any equipment or IT issues
  • Track team daily, weekly, and monthly numbers
  • Training the team and new employees
  • Ensuring all team is following best practices and scheduling guidelines
  • Lead observes and evaluates Scheduling Coordinators and their performance to ensure quality of service.
  • Assists Patient Services Manager on Scheduling Coordinator corrective coaching and performance reviews
  • Communicate with Practice Managers regularly regarding the schedule and any other needs or changes
  • Implementing new protocols and/or training
