Primary mission:

As the Sales Coordinator, you will collaborate between group sales and all hotel departments to ensure quality service and compliance with policies and procedures. You will be responsible for day-to-day operations of the group sales department to achieve customer satisfaction, and meet/exceed revenue and profit objectives. You will assist the Director of Sales & Marketing fielding leads, qualifying business and maintaining the sales and catering managing platform.

SCOPE OF WORK + TEAM

  • Reports to Director of Sales & Marketing

RESPONSIBILITIES

  • Answer phones, emails and assist with walk-in inquiries. Prepare reports/information for Director of Sales and Marketing. Assist with developing customer communication both written and verbal.
  • Input and maintain reservations, rooming lists, reporting pick up; monitoring contracts for VIP and upgraded accommodations.
  • Develop and continually enhance relationships with key corporate, business and travel industry accounts, community organizations and professional associations to maintain high visibility and increase market share.
  • Act as liaison with other departments in the hotel via weekly meetings to provide information in a timely manner and ensure group and catering needs are carried out as contracted.
  • Assist in preparing and distribute Group resumes to all departments. Communicate effectively with customers, managers and associates to ensure all information related to groups are conveyed smoothly.
  • Collaborate with all members of the hotel staff on how to recognize and capitalize on all sales opportunities to increase hotel occupancy and revenue.
  • Implement company programs and resolve daily, operational issues through consistent monitoring of guest arrivals ensure optimal level of service, quality, and hospitality.
  • Assist in the preparation and execution of marketing responsibilities as deemed appropriate by Sales Director and/or General Manager
  • Other duties as assigned

Qualifications:

Education: High school graduate or a four-year college degree or equivalent education /experience preferred.

Experience: Previous hospitality employment in a related position or administration related work.

Skills and Abilities:

  • Requires advanced knowledge of the principles and practices within the sales/marketing hospitality industry.
  • Experiential knowledge and initiative required for complex problems and efficient sales activities.
  • Must possess highly developed communication
  • Must have Excel, PowerPoint, Word; PC knowledge, ability to write and communicate professionally,
  • Must be hospitality oriented and possess the ability to work under pressure.
  • Should possess the ability to complete multiple tasks simultaneously
  • ONQ PMS, R&I, or Delphi/Salesforce preferred

Other Expectations:

  • Abide by payroll policies, procedures (punch in/punch out), Meals and Rest Periods policy and OLS Hotels & Resorts Rules of Conduct.
  • Demonstrate a working knowledge of all hotel safety and security procedures as required maintaining a secure and safe environment for associates as well as guests.
  • Report any unusual occurrences and/or request to the General Manager.
  • Read and abide by all the regulations and rules of conduct stated in the associate handbook.

Travel required: Limited, local travel upon request

Hours Required: Monday thru Friday and times may vary based on business needs. May be requested to work weekends and nights, as needed.
