We are looking for a dynamic individual to become our new Sales and Conventions Specialist. Our ideal candidate is someone who enjoys guest interaction, coordinating events, and is a great administrator.
FOSSE & MARSHA certification, F&B knowledge, and Marriott experience is a big plus. This position is a great opportunity for someone who has worked at the front desk, has sales experience, and is looking for that next step.
This position is mainly Monday through Friday but will include the occasional weekend. Our sales specialists are given additional sales training each month via zoom and classroom settings as we are committed to training and development.

Position: Sales and Conventions Specialist

Full Time Position: 40 hours a week

Reports To: GM & MSM

Position Summary:

Supports the sales department with the effective booking and coordinating of meetings, group reservations and events. Responsible for entering group block reservations, administrative duties, meeting room set up and maintenance and effective communication with the Director of Sales, General Manager, clients and other departments of the hotel.

Primary Responsibilities:

· Complete brand specific sales training.

· Complete knowledge of brand specific standards and top Hotel accounts

· Keep sales office clean and organized.

· Handle incoming sales calls (always return phone messages promptly, same day if at all possible).

· Respond to MSM in a timely manner on all items forwarded that needs attention.

· Set the house for daily arrivals and communicate with all departments regarding new accounts, group and meetings.

· Track company name data and ensure that reservations are being coded appropriately using the daily reports available.

· Collaborate with front desk and housekeeping on assigning and setting up rooms for new and VIP clients.

· Relieve the front desk when necessary.

· Conduct site visits with clients as needed.

· Maintain an organized filing system and complete all sales paperwork (ex. contracts & meeting agreements).

· Upkeep of the Sales Process: Binders, LNR list, Sales & Events contacts etc…

· Inputting groups in Delphi and setting up the billing and rooming list information.

· Tracking meeting room bookings. Setting up and servicing meetings on the day of the event. Coordinating catering needs, getting pricing, confirming times with MSM and F&B Director.

· Complete a Future Group resume each week, a rolling event grid showing the next 10 days of groups and meetings. Copy posted in sales office and binder at the front desk.

· Keep group and meeting binder updated daily or as needed at the front desk.

· Writing welcome and thank you letters and/or emails to clients.

· Tracking group booking arriving in the next 30 days. Sending introduction letters and ensuring that we have a correct method of payment, rooming list, numbers are confirmed, tax exemptions etc…

· Contact groups 2 weeks prior to the cut off date and meetings 48 hours before the event.

· Complete any Quick Links, POG’s and follow up with group contact within 24 hours.

· Complete by weekly group wash spread sheet for GM. Needs day before revenue call.

· Complete a weekly sales coordinator report.

· Attend industry meetings, chamber events & special events. Track upcoming events and send to MSM weekly.

· Keep up with Knoxville calendar of events by documenting on sales calendar.

· Must perform any other required duties as requested by the Market Sales Manager or General Manager.

· Willing to work flexible schedule – will be required to work some weekends – as the sales department must be represented at each function.

· Keep confidential the business functions of the company including, but not limited to, financial status, customer/guest information, employee issues, etc.

· Follows all Hotel Sales Procedures

· An excellent communicator, both in speaking and writing

· Positive mental attitude/goal oriented

· Efficient in time management, organized and detailed individual.

Physical Requirements:

· Must be able to work in close quarter, approximately 2.5 feet

· Must be able to stand/ walk on feet for up to 8 hours a day

· Must be able to bend, kneel and reach

· Must be able to speak clearly and effectively in English

· Must be able to lift up to 25lbs

· Must have clear vision for close computer/ writing tasks

Job Type: Full-time

Pay: From $18.00 per hour
