Overview of Role:

FirstService Residential provides on-site property management to the Resident Associations and Board of Directors of an upscale development located in Sun City Center, FL. The on-site Resident Services & Communication Assistant role will provide an array of customer service and communication functions to residents and the internal team with an emphasis on IT platform utilization. The working environment is in an office and meeting/conference rooms and the position is 40 hours per week Monday through Friday.

Candidate Qualities:

Teamwork, hospitality, and a willingness to optimistically serve internal and external customers should be a natural way of life for the successful candidate. The ideal candidate must be an exceptional communicator, have strong organizational skills, the ability to coordinate and setup meetings, utilize Microsoft suite products, have experience in a fast-paced receptionist/customer service environment (customer facing, telephone, and email skills), professionally handle difficult situations and have a genuinely helpful attitude. Direct working experience within non-profit governance models such as residential associations or club boards is a plus.

Duties of Role:

  • Support the on-site Customer Service Team as needed by assisting with front desk customer care.
  • Develop and implement a communication schedule to ensure notification of parties for important internal and external information, meetings, and deadlines.
  • Produce and deliver customer service information, new resident orientation, and educational material through various electronic platforms (PSA's, Teams, PowerPoint, Live Streaming etc.).
  • Have fluent working knowledge of website maintenance and maintain the content as provided and directed, including design style (WordPress).
  • Utilize proprietary software program to ensure the internal process for documents, records, and file maintenance are being complied with.
  • Coordinate the master calendar for Association Meetings, processing delivery of statutorily required notifications in Welcome Link as necessary.
  • Facilitate proper workflow for assigned documents and information.
  • Prepare sentiment surveys and work-quality review documents for Board and Management.
  • Handle deed and title company information requests as necessary. (secondary)
  • Schedule community service appointments upon request. (secondary)
  • Coordinate with the County on resident water utility requests. (secondary)
  • General office skills i.e. telephone, computer, filing, copying, scanning etc.
