JOB SUMMARY

Performs clerical, reception, scheduling and patient financial account functions. Assists in coordinating primary health care services to a large outpatient client population. Retrieves, reviews and assigns and/or distributes all referrals/faxes. Verifies eligibility and status of referrals when appropriate for the physician office and/or member.

JOB DUTIES

1. Actively demonstrates the organization’s mission and core values, and conducts oneself at all times in a manner consistent with these values.

2. Knows and adheres to all laws and regulations pertaining to patient health, safety and medical information.

3. Schedules, reschedules and cancels patient office visits as determined by physician preference and specific ambulatory care setting procedures. May include scheduling of referral tests and procedures ordered by the physician.

4. Knowledgeable of third party payor policies and procedures, documentation requirements, and patient instruction procedures.

5. Maintains knowledge and skills of front office operations in order to assist as necessary with reception, medical records, scheduling, and billing functions 6. Maintains a good rapport and cooperative working relationship with all members of the medical office, other medical offices, hospital services, and community agencies.

7. Maintains technological competencies, organization, and neatness in the work area. Completes all mandatory in-services in required timeframe. Regularly assists co-workers as needed. Utilizes resources in a manner, which reflects an understanding of proper stewardship.

8. Receives and screens all incoming calls for distribution to the nurse reviewer or appropriate department. Verifies eligibility and status of referrals when appropriate for the physician office and/or member. Maintains quality customer service at all times with callers exhibiting courteous and professional behavior. 9. Demonstrates behaviors consistent with identified competencies and job requirements (i.e., continuing education, mandatory in-services, safety training, annual TB testing and organizational integrity program).

10. Notifies appropriate personnel of equipment malfunctions and needed repairs.

11. Acts as liaison between provider offices, physicians, health plans and other departments to ensure high quality customer service are being delivered.

12. Possess an ability to deal effectively in high stress situations, to evaluate current processes for enhancement, and make necessary recommendations. 13. Maintains a working knowledge of each product including, but not limited to, employer groups, benefit plans, benefit limitations and additions.

14. Accepts assignments of additional duties when indicated to maintain department operations.

15. Performs other duties consistent with purpose of job as directed.

JOB SPECIFICATIONS AND CORE COMPETENCIES

Education: High school graduate or equivalent is preferred. Previous training in general medical office skills and procedures. Proficient and knowledgeable of medical terminology.

Licensure: None

Experience: One to two years experience is preferred. Recent physician office, hospital business office or background in claims or customer service required. Computer proficient and appropriate telephone etiquette skills required.

Must be tactful in handling patient problems often of a highly personal and confidential nature.

Must be able to maintain composure during frustrating interpersonal situations.

Sustained mental attention required.

Works under direct supervision, but requires independent thinking and only unusual problems proceeding to the highest level.

Ability to adjust communication skills to the level of the patient.

Works with minimal assistance or supervision.

Displays strong problem solving skills and ability to multitask. Understands and strives for providing excellent customer service.

May need to occasionally travel to other SJPN locations within the three county area.

Assigned hours within your shift, starting time, or days of work are subject to change based on departmental and/or organizational needs.
