Provides administrative support and assistance in the daily functions of the Referral Center. Position will work Monday-Friday and may have potential to work from home some days, as well.

Essential Duties:

  • Maintains a patient database system which includes but limited to initial patient data entry, maintenance of database, and preparation of statistical data and report generation.
  • Enters data of Hospice, Palliative Medicine, KidsPath, and Community referrals with less than 5% error rate.
  • Insurance Verification Specialist.
  • Communicates appropriate private insurance/VA/Tricare emails to Managed Care Coordinator, as applicable.
  • Verifies work to ensure accuracy with changes in address, teams, physicians that differ from initial referral received.
  • Verifies work to ensure accuracy of Referral Source and Referral Company per Clinical Software Guidelines.
  • Ensures all pending referrals are entered in Clinical Software System before end of work day.
  • Handles overflow phone calls from referral line as needed (return, accepting, etc.), appropriately explaining program specifics, completing the Referral Worksheet, answering questions, follow up calls to request medical information, etc.
  • Maintains admissions referral records. Copies, files, faxes as required.
  • Enters data into Hospice Pharmacia.
  • Assists with paging out of referrals to appropriate staff (Hospice or Palliative Medicine) with new referrals or existing patients.
  • Drafts, prepares, distributes and/or follows up on various correspondences, reports and/or key dynamics associated with admissions.
  • Troubleshoots and maintains office equipment.
  • Assists with providing medical information via Carolinas Healthcare System as requested by clinical staff or Manager.
  • Provides administrative support to other staff members as needed.
  • Completes Admission Packets, copies of admission forms, ordering refills of admission forms, handling incoming and outgoing Referral Center mail, copies of medical information for Medical Services post admission, as assigned.

High School diploma plus training/certification in related field required. Associate's Degree preferred.

Minimum of two years of related experience in an office environment, preferably in a health care facility/setting. Insurance verification experience necessary. Experience supporting executives beneficial.
