Job description
Provide general office support with a variety of clerical activities and related tasks. This role will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.
Hours: Monday - Friday, 12 pm - 5 pm
  • Operate multi-line switchboard via an online system while using a variety of technology; answer, screen and forward all incoming phone calls while providing basic information as needed
  • Maintain safe, clean and organized lobby, reception desk, reception supply room, copy rooms and kitchen areas
  • Manage front desk security procedures according to the Corporate security policy.
  • Serve visitors by greeting, welcoming, directing and announcing them appropriately
  • Order taxis for departing guests as requested.
  • Receive, sort and distribute daily mail/deliveries/couriers. Operate manual and electronic mailing equipment. Interact with shipping and courier companies.
  • Ensure mailroom equipment runs properly; complete preventative maintenance, call for repairs
  • Update all front desk resources, written instructions and spreadsheets.
  • Assist hiring managers with onboarding new employees, welcome kits, workstation assignments, etc.
  • Manage badge process – create photo badges for all company employees and activate access badges for Corporate employees.
  • Workday Photo Approval per guidelines.
  • Create cube and office signage for Corporate office occupants.
  • Create/maintain relationships and act as liaison with external agencies and suppliers/vendors (car service, custodial/maintenance service, Staples, FedEx, UPS, etc.)
  • Request conference room set up and special accommodations from housekeeping.
  • Input facilities work orders utilizing the tenant portal.
  • Assist other departments with overflow work; corporate phone directory, office map, travel arrangements, catering orders, scan/copy, data entry, mass mailings and other tasks as assigned
  • Maintain office, kitchen and mailroom inventory; order, stock and track supplies
  • Manage office and facilities expenses utilizing company credit card and Concur.
  • Administrate Staples and Amazon Business accounts.
  • Manage off-site file storage process.
  • Organize and facilitate annual office cleaning week-long event.
  • Act as a resource to fellow coworkers to assist in finding items, places, additional resources to solve challenges.
  • Provide back-up when fellow receptionist is out of the office; must be able to cover 8 am – 5 pm, up to a week at a time.

  • Excellent computer skills and proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Maintain a high level of confidentiality at all times

  • Strong communication skills both written and verbal with a high level of tact and diplomacy
  • Excellent interpersonal skills; work well with all levels of internal management and staff, as well as outside customers/vendors

  • Ability to organize, multitask, prioritize and work under pressure
  • Self-motivation with special emphasis to details and the ability to follow various projects through to completion
  • Ability to work independently as well as a member of a team
  • Supply management, record keeping skills
Background Requirements
  • 2+ years office experience, preferably in a similar role
  • Switchboard/receptionist experience
  • Stable work history
  • College degree or an equivalent mix of education and experience desired
