Position: Receptionist

Department: Medicine, Cardiology

Job Type: Non-Exempt, Full Time

Hours: Monday-Friday; 9am-5pm (40-hour work week)

POSITION SUMMARY:

Employee must support an efficient, patient focused practice flow as directed by the Practice Manager or management. Performs tasks related to scheduling of patient visits, patient in-take process, answering telephones, and front desk operations. Provide administrative support as required by physicians.

REPORTS TO: Practice Manager/Supervisor of Operations

KEY JOB DUTIES AND RESPONSIBILITIES:

  • Meet and greet patients and collect co-payments/time of service payments /past due balances
  • Verify patient’s insurance eligibility, resolve edits, update insurance screens and enter insurance referrals into referral module
  • Update and confirm patient demographics
  • Identify the need for and collect referrals, enter referral into proper module
  • Link referrals to visits to ensure reimbursement and proper decrementing
  • Process patient arrivals quickly and efficiently according to office protocols
  • Secure and record all types of monies collected throughout the day in accordance with Columbia guidelines
  • Assist as needed with scheduling/confirming/rescheduling bumped appointments in electronic system
  • Pre-registering patient within electronic health record (EHR)
  • Mailing of patient pre procedure/ diagnostic prep information
  • Enter Recall/reminder of patients to ensure highest level of quality and continuity of patient care
  • Maintain complete understanding of all managed care plans
  • Invitation to patient portal
  • Observe HIPAA regulations at all times
  • Communicate effectively and professionally with co-workers, managers and patients in all interactions
  • Attend regular staff meetings
  • Maintain a neat, professional appearance and work area
  • Adhere to all company policies as outlined in the Service Corp Employee Manual
  • Direct patients to their appointment destination.
  • Notify Auth Team of testing, procedures added within one week of scheduling
  • Scan registration forms, insurance cards, referrals and other documents collected at the time of registration
  • Monitor waiting room for patients waiting longer than their schedules appointment/communicate if physician is running late

QUALIFICATIONS:

The candidate must be able to work collaboratively within a diverse team of professionals and must be a highly organized and efficient individual. The candidate must have excellent communication skills and be able to work individually and as part of a team. The candidate must acknowledge that the patient is our highest priority.

  • Must be able to manage multiple cross-functional communications and process messages in a timely manner.
  • Must possess strong communication skills and the ability to speak with many diverse stakeholders.
  • High School graduate or equivalent; Associate degree - preferred
  • 2-3 years of related experience in a high patient volume ambulatory setting
  • Knowledge of medical terminology

WORKING CONDITIONS &PHYSICIAL REQUIREMENTS:

Ability to sustain prolonged sitting, typing and viewing a computer screen

Manual dexterity sufficient to type on a keyboard
