Job Description:

The Business Development Coordinator is responsible for supporting the business development team, and all subsidiary Presidents, to maintain and update the pipeline, prepare proposal and other opportunity documents as needed, to ensure a streamlined and efficient proposal.

  • Analyzes, reviews, and fully understands stated requirements of the Government’s Request for Proposal (RFPs) and is required to manage production, maintain quality control, and ensure compliance with standard requirements on each proposal, including corporate style guide/branding guidelines, departmental procedures/standards, and customer instructions and mandatory solicitation requirements;
  • Distributes RFP and associated materials and ensures that all updates, amendments, and modifications are communicated across the proposal development team;
  • Prepares proposal documents in coordination with proposal manager/writers, meets required deadlines to ensure that the final output is compliant with the RFP and proposal plan;
  • Compiles, organizes, and revises information from a variety of sources to generate BD documents including presentations, proposals, task order requests, Requests for Information (RFIs), Requests for Qualifications (RFQs), Final Proposal Revisions (FPRs), and Best and Final Offers (BAFOs). This includes coordination of all proposal data and production efforts to produce high quality documents for reviews and approvals;
  • Assist with formatting throughout the proposal process based on style guides and the proposal plan, and is supports the final proposal production and packaging;
  • Maintains general proposal files/folders including project descriptions, resumes, written proposal sections, graphics, and related templates;
  • Schedules conference/war room space and makes certain that all materials needed for meetings, including presentations, agendas, conference lines/equipment, and related needs, are handled;
  • Thorough knowledge of MS Word, MS PowerPoint, MS Excel. Will provide direct support to the Proposal Writer as needed.

Specific tasks as outlined in the SOP:

    • Support Capture Managers and Proposal Manager/Writers
    • Assist with the creation of Capture Plan templates and updates
    • Maintain and update the pipeline and update subsidiary Presidents accordingly
    • Conduct Opportunity Review Meetings and Bid/No Bids
    • Create folders on the x:drive as opportunities are moved to pursue, and, update if decision to pursue is changed
    • Maintain folders by updating RFP revisions and other related document revisions.
    • Monitors data calls, ensuring all are complete and submitted for opportunities
    • Assist with final proposal formatting and production
    • Submit graphics requests and ensure responses are final
    • Manages small task order responses with the assistance of the proposal manager/writer
    • Responsible for summarizing BD meeting notes and distributing accordingly
    • Coordinate with Proposal Manger/Writers and Capture Managers in ordering BD supplies
    • Provide BD and administrative support to the proposal and capture team as necessary.



Job Requirements:
  • BS Degree preferred or equivalent of education and work experience
  • 2-5 years of relevant experience
  • Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.
  • Ability to access and accurately input information
  • Ability to work independently and complete duties and projects with little direct supervision
  • Ability to accurately work under pressure in meeting deadlines
  • Must have excellent communication, teaming, and organizational skills.
  • Must be proficient with Excel, Word and Outlook applications
