Job Summary
The Construction Estimator will be responsible for writing high quality, accurate, and optimized estimates in a timely manner to best represent SERVPRO Team Wall and the work completed by production teams. The Construction Estimator will be responsible for continuously improving and growing their estimating skills, following and understanding their role in Team Wall Administrative SOP, and excellent customer service and communication skills.

Major Duties and Responsibilities

Daily

Monitor Daily Updates from Mitigation Team

  • The Construction Estimator should have the Outlook Rule set up on their Outlook application that identifies daily updates from the mitigation team as either a ‘Yellow – Possibly Interested’ or ‘Green – Confirmed Interest’ for construction services.

Monitor the ‘Unscheduled Leads’ Dashboards

  • A Construction Estimator is assigned to each and every job that hits the ‘Intake and Research’ or ‘Contact and Schedule’ progress status by the Construction Estimating Manager. Construction Estimators will use this to anticipate and plan their workload and reach out to customers to schedule Estimate appointments.

Contact Customer

  • Construction Estimator should contact customer within 8 hours of being assigned a job in WIP dashboard.

Scheduling/Dispatching

  • The Construction Estimator is responsible for not only the information intake of a lead, but also placing the estimate appointment in Service Fusion according to outlined process and dispatching themselves to the appointment.

Ensure all appointments are properly documented in Service Fusion to improve the customer service experience. An email FNOL for each Estimate created must be sent out to the FNOL email group for the producing office.
All statuses in Service Fusion should be updated through the estimate process in accordance with Team Wall’s Administrative SOP’s.

High Standard of Customer Service

  • Construction Estimators are essential to building the foundation of a positive customer service experience by communicating via phone, e-mail, and in-person interaction with customers and points of contact on a daily basis.

Excelling in customer service and communication is a necessary trait of a Construction Estimator.

Estimate Fee Collection

  • If an estimate appointment is eligible to have an estimate fee collected it will be the responsibility of the Construction Estimator to collect the payment on site and document as required in the Service Fusion Field Application.

Estimate Creation

  • Create estimate based on data, pictures, scope and other resources gathered during the estimate appointment. Make sure to follow IICRC guidelines and do all possible to optimize the estimate while abiding by industry standards and ethics.

Estimate Review/Revision

  • Submit finalized estimate for peer review to the Construction Quality Control Analyst. Listen with an open mind and intent to learn to feedback and suggestions. Revise estimate as necessary based on the feedback and suggestions.

Estimate Delivery

  • Deliver the estimate to the customer and/or adjuster within 48 hours of job site inspection. Ensure proper templates, headers, opening paragraphs, are used on every estimate. Document Workcenter notating approval of estimate by marking ‘Estimate Approved’ timestamp to move the job file to the ‘Approvals’ progress status.

Update the WC job file with all documentation necessary and in accordance with the Team Wall Administrative SOP’s.

Monitor and Follow Up on ‘Estimates out for Approval’ Dashboard

  • Routinely follow up with adjusters to ensure progress and minimize customer down time. Communicate with the customer during this process so they are aware of potential delays and timing. Document all communication in Workcenter.

Finalize Estimate

  • Properly document final agreed upon estimate information in Workcenter to the proper job file.

Organization

  • It is the responsibility of the Construction Estimator to stay organized and up to date on the Team Wall Standard Operating Processes, as well as departmental progress and updates.

Technology

  • The Construction Estimator should understand all necessary applications to a level of mastery. Ensure all systems are operational and reach out to appropriate parties to troubleshoot on behalf of the team if not.

Weekly

Weekly Construction Team Meetings

  • Construction Estimators actively participate in weekly department meetings, contributing feedback and questions to the team.

Bi-Weekly One-on-One Meetings – Direct Leader

  • Participate in bi-weekly meetings with direct leader (Construction Estimating Manager). Come to meeting prepared for the agenda set, decisions you need help with, and items where you need support from your leader.

Administrative Scorecard

  • The Construction Estimator should review the Administrative Scorecard as it comes out each Thursday afternoon to ensure the Team Wall SOP’s are being followed correctly and monitor KPM performance as it pertains to estimates.

Construction Estimator Scorecard

  • The Construction Estimating Manager will compile these each week for distribution. These scorecards should be reviewed in bi-weekly one on ones to identify strengths, weaknesses, and identify action plans to improve performance.

Weekly Supplement Status Report

  • Identify and discuss supplements with Construction Estimating Manager.

Monthly:

Monthly Team Meetings

  • Employee development is a priority at Team Wall. Regular team meetings are scheduled, conducted, and documented by the Construction Estimating Manager; the expectation is for Construction Estimator to actively participate in these meetings each month. Education, company updates, team building, and cross training will be topics in these meetings.

As Needed:

Ad Hoc Projects

  • The Construction Estimator may be asked to participate or prepare ad hoc projects in efforts to grow the effectiveness and efficiency of their department and company.

Training

  • The Construction Estimator may be asked to participate in or attend training sessions either on or off site.

Employee Training

  • Construction Estimators assist Construction Estimating Manager in training new Construction Estimators via on-the-job training and shadowing opportunities.
