The Project Coordinator serves as the primary resource for tasks related to maintaining document control and tracking of multi-department project activities within project timelines.

Typical Duties:

  • Assists the Service Line Administrator, Senior Physician Executive, the Vice-Chief, and all other faculty (as needed) in their roles to efficiently achieve work objectives and process improvement for the department.
  • Ensures adherence to department budget.
  • Develops, produces, and distributes standing and special reports for various departmental needs.
  • Demonstrates ownership and accountability for the coordination of project results, resolving any issues and solving problems throughout project life cycle.
  • Tracks and reports project milestones and provides timely status reports to departmental leaders.
  • Prepares and maintains departmental schedule (including provider call schedules) with input from departmental leadership to include submitting time and attendance for all providers within the department.
  • Facilitates the development, tracking and reporting of the department quality scorecard metrics.
  • Prepares, distributes, and maintains written communications (e.g. graphs, outlines, minutes, a variety of correspondence, reports, department newsletter etc.) in support of effective internal and external project completion.
  • Prepares, distributes, and maintains productivity for each provider.
  • Coordinates scheduling of work such that appointments are timely arranged, schedules are efficiently maintained, and materials in support of achieving work objectives are complete and made available on a timely basis.
  • Maintains all correspondence and communications received assuring that information is timely disseminated on a need to know basis while keeping management informed of status and/or location of information.
  • Prepares summary data, written and oral reports as assigned such that reports are timely, accurate, and regularly available.
  • Interprets and presents oral and/or written data and communications in an effective manner to optimize the conduct of efficient management operations.
  • Coordinates all department and division meetings as assigned including but not limited to preparation of meeting room and menu planning, agenda packet preparation and minutes, and ensuring that follow-up is done on all open items.
  • Coordinates and maintains all departmental, and provider CME and travel reimbursements.
  • Maintains a positive responsible attitude for the department activities as well as their own work.
  • Receives, screens, and routes telephonic, verbal, and written communication such that priority issues are promptly addressed and all issues receive needed attention.
  • Conducts everyday operations with minimal supervision or guidance.
  • Performs other related job duties as assigned.

Required Education and Experience:

  • Bachelor’s degree in Business or a Health related field.
  • 2 plus years of work experience in project management in a team-oriented, collaborative environment.

Preferred Education and Experience:

  • 3 plus years of relevant job experience.
