Job description

1) The project office administrator will:

  • Answer telephone and direct callers to the appropriate personnel or take a message
  • Greet and direct visitors in a professional, friendly manner
  • Maintain an orderly reception area (see expectations below)

2) Receive deliveries and notify recipients of their arrival

3) Receive, open, and distribute US Mail to the appropriate personnel

  • Invoices, statements, lien-related items to the accounting manager
  • Bank statements to controller
  • Other items addressed to specific individuals
  • If in doubt of the correct recipient, ask the senior project administrator

4) Distribute incoming interoffice mail to the appropriate personnel

5 )Schedule conference rooms as requested by office personnel using the Skedda website

6) Maintain scheduled time off spreadsheet on Procore

7) Issuance of key cards to authorized personnel using the Brivo website and order additional key cards as needed from the vendor

8) Maintain the stock of office supplies and order additional stock as needed on the Staples website

9) Maintain the self-service safety forms display, keeping it well stocked

10) Maintain office copiers by ensuring:

  • All paper trays filled once per day and toner levels checked
  • At least two of each color of toner and four black toner cartridges kept on hand
  • Contact the vendor when service or supply needs arise, currently Pacific Office Automation
  • Be familiar with copier/scanner operation and assist users as requested

11) Maintain the stock of kitchenette supplies and order additional stock as needed

  • Keep a supply of paper goods and cutlery available on the countertop
  • Keep a supply of sugar, creamer, etc. available on the countertop
  • Fill coffee and tea display drawers as needed
  • Be the contact person to the vendor, currently Aramark

12) With the prior approval of the project administrator, assist various personnel with:

  • Data entry/Record keeping
  • Copying/scanning
  • Filing

13) Other administrative duties as requested by the project administrator
