Duties

Program Support Assistants (PSA) are the administrative support personnel for Patient Care Services. Patient Care Serviecs includes nursing, environment management, education, Chaplain, VIST and administrative staff to include Program Support Assistants who will constitute the functional unit by providing interaction amongst the service and staff.

The incumbent will serve as a PSA for Patient Care Services. You will perform a wide variety of administrative duties and transactions in support of Patient Care Services. Duties include: timekeeping and performing work of a general office administrative/clerical support nature which encompasses a variety of different duties and responsibilities

Typical tasks include:

  • Preparing, maintaining and reviewing time and attendance reports for a variety of pay plans.
  • Determining appropriateness of hours being charged and types of special pay being authorized.
Tracking, logging, and compiling reports on a variety of time & attendance and special pay categories.
  • Preparing tracking systems and logging hours reported such as overtime pay, compensatory pay, premium pay, and other special pay determinations for Nurse Managers.
  • Receiving, scheduling, referring, and contacting members of the staff, agency, and persons outside the agency.
  • Screening Calls and personally answering calls.
  • Processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
  • Editing and composing letters and reports and reviewing correspondence for accuracy and completeness.
  • Scheduling appointments,, coordinating meetings, and/or scheduling conferences.
  • Maintaining calendars and recording appointments for meeting and small conference administrative details.
  • Obtaining and monitoring the use of services, supplies, or equipment.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/23/2022.

Current Title 38 Hybrid employees: To qualify for a Title 5 position based on the Interchange agreement, you must meet the following:
1. Be currently serving under a permanent appointment.
2. Served continuously for at least 1 year in the other merit system prior to appointment under the interchange agreement.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position, you must have served 52 weeks at the GS-04.

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position, you must have served 52 weeks at the GS-05.

The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

GS-05
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-04, in the normal line of progression for the occupation in the organization.

Examples of this experience would typically include but are not limited to timekeeping, receiving, scheduling, referring, and contacting members of the staff and agency, answering phones, referring visitors, providing information, processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication, maintaining calendars and appointments for the supervisor; OR

Education: Applicants may substitute education for the required experience. To qualify on education for this grade level, you must have 4 full years of education post high school, from an accredited business, secretarial or technical school, junior college, college or university. (TRANSCRIPTS REQUIRED); OR

Combination: Applicants may also combine education and experience to qualify at this level. (TRANSCRIPTS REQUIRED)

GS-06
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-06, in the normal line of progression for the occupation in the organization.

Examples of specialized experience would typically include, but are not limited to: timekeeping, receiving, scheduling, referring, and contacting members of the staff and agency and persons outside the agency ranging from other government agencies to the general public, answering phones, referring visitors, or providing information, processing incoming and outgoing materials, such as correspondence, reports, memoranda, and other forms of written communication, maintaining calendars and appointments for the supervisor, maintaining stock in the office and ordering supplies.

Education: Education cannot be substituted for experience at the GS-06 level.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.

Pandemic Telework Program: Due to COVID-19, the VA is currently in an expanded telework posture.
