Program Secretary – Child Nutrition

Position Description:

As a program secretary in our Child Nutrition department, you will serve students and staff in a public education setting. Your charge is to provide outstanding service to staff, students, and the community by directly supporting department staff and administrators, managing the Child Nutrition office, and being an active resource for families. By employing outstanding customer service skills, being knowledgeable of industry regulations, and working collaboratively with inside and outside customers, you will help shape, maintain, and enhance a culture of safety, positivity, partnership, and inclusion.

Key Qualifications:

  • Ability to establish and maintain effective working relationships with a variety of people in a multicultural and diverse socio-economic setting

· High school diploma or equivalent

· Two years of related experience in a school district environment preferred

  • Ability to utilize technology tools and resources to increase communication effectiveness (e.g., email, Word, Google, video systems, etc.)

· Demonstrated knowledge of skills and experience in the following areas:

o Operation of standard office equipment including computers and a variety of software programs such as Microsoft Word, Excel, Outlook

o Keyboarding at 40 wpm minimum, 50 wpm preferred

o General clerical procedures, basic accounting practices

o USDA-funded program operation experience preferred

· Ability to communicate effectively both orally and in writing, demonstrating the proper use of grammar, punctuation, and spelling

· Possess effective human relations skills. Provide a friendly, open, safe, and service-oriented atmosphere

· Ability to work with minimal supervision; organize and prioritize work, establish, and maintain cooperative working relationships with staff, students, and the community

· Maintain a high degree of confidentiality regarding all district-related matters and records

Key Responsibilities:

OPERATIONAL

· Consistently employ sound judgment in all situations

  • Maintain student accounts in point-of-sale system that are accurate and meet USDA regulations for accountability. Keep current with all program regulations, both state and federal
  • Prepare and generate a variety of reports and documents for supervisors, staff, and outside agencies to provide information (e.g., monthly/year-end reports, financial reports, correspondence, inventory, mailings, forms, bid packets, testing packets)
  • Provide for accurate accounting, maintenance and reporting of records
  • Maintain department data to provide current information for various departments (e.g., purchase requisitions, bills and invoices, work orders, menus, and grants)
  • Respond to inquiries or requests from staff, parents and the community to resolve problems or provide answers/information (e.g., substitutes, staff training, meal application support, meal debt, etc.)
  • Assist child nutrition staff as needed; maintains adequate supplies for office operations, conducts inventory as required or necessary
  • Maintains food service webpage to reflect accurate information. Produces and/or distributes department communications/publications which may include handbooks, calendars, newsletters, reports, and general public relations information
  • Order and track supplies and inventory
  • Prepare and track documents for accounting and ensure budgets are current (e.g., financial documents such as invoices, travel requests, personnel/payroll forms)
  • Maintain files according to District policies and procedures; provide accurate information
  • Maintain department personnel records including attendance, food handler permits, evaluations and training
  • Assigns substitutes as needed and maintains substitute records
  • Receives, reviews, and maintains applications for free and reduced meals in accordance with federal standards

Job Type: Full-time

Pay: $27.30 - $33.13 per hour

Schedule:

  • 8 hour shift
