Position Purpose: Family Ministries at First Pres covers ministry activity focused on families with children aged infant to 18 years old. The position of Program Coordinator for Family Ministries provides excellent administrative support to the Family Ministries department. This includes managing the calendar and schedule of the Family Ministries department and ensuring the collaboration of schedules and programs of all departments in Family Ministries including MOPs, Children, Middle and High School. This position particularly ensures administrative expertise in volunteer support and program coordination and support.

Schedule: Full-time on Sunday through Thursday, between the hours of 8 am and 5 pm, this position is the connector between families, volunteers, family ministry department staff and regular staff of First Pres.

Team Duties:
1. This position reports directly to the Executive Pastor, reflecting the priorities and directional vision of the Executive Pastor.
2. At the direction and supervision of the Executive Pastor, this position works with the Family Ministries team catalyzing and tracking the processes, procedures and logistical planning to achieve the successful completion of programs and events of the Family Ministries Team. This position is intended to provide the framework for successful completion of program and events by each individual Ministry Leader.
3. This position provides daily interface, coordination and task assignment between staff, lay ministry teams, lay leaders and members of the congregation looking for a place to serve in the Family Ministries areas.
4. This position ensures that volunteer lists are identified by program, contact information is maintained and the database is updated to allow for each Family Ministry leader to develop and schedule their own volunteer teams when needed.
5. This position ensures that family and children lists are accurately and completely maintained in the database allowing each Family Ministry leader to develop and schedule their own contact with families and children when needed.
6. This position supports the ministries within Family Ministries ensuring that budgets are properly maintained, that contracts are properly processed and other program coordination activities are properly attended and coordinated. This includes ensuring that registration processes for events are timely opened and maintained and that proper coordination between Family Ministries, business operations, Communication and Facilities are notified and capable of providing thorough and timely support to each Family Ministry leader for their programs and events.
7. This position ensures that attendance at all events and programs are properly noted in the database system. This includes ensuring the new families are processed, communications lists are maintained and operations processes are coordinated with the needs of Family Ministries.
8. This position supports the Ministries by assisting with calendar support, meeting support where needed (including taking minutes at department meetings), efficient completion of administrative duties including prompt response to correspondence, voice mail and email, processing of check requests and expenses supporting the Business Office processes and procedures. This position should maintain regular contact with the Communications team as new programs and events are developed to facilitate good communication between each Family Ministry team leader and the Communications Team.
9. Other duties as assigned.

3. Work collaboratively with other staff towards ministry vision and goals, follow the staff values and norms, follow the Guidelines as stated in the Employee Guidelines Manual, and respect confidentiality.
4. Engage in opportunities for ongoing spiritual growth including personal retreats and follow-up, worship, staff retreats, Bible study, spiritual mentoring, etc.
5. Regularly attend appropriate staff meetings, staff chapel and meetings or events as assigned.

Position Requirements:
Faith: Active member of First Presbyterian Church or active member of a local Christian congregation, and
Holds beliefs that are consistent with those of First Presbyterian Church

Education: Bachelors degree preferred but not required; equivalent work experience may be substituted
Experience:

  • Experience in family, youth or childrens ministry preferred.
  • Data base experience required/ROCK preferred.
  • Advanced skills in Microsoft Outlook, Word, PowerPoint and Excel experience desired.
  • Experience working with multiple stakeholders in a busy environment desired.
  • Experience working with events and programs providing logistics coordination, database management and experience working with multiple teams.
  • Experience working in administrative capacity interfacing with communications, facilities and business operations.
