Job Description:

Job Summary: The Program Coordinator - GME, under the direction from Academic Affairs leadership and Program Director, is responsible for managing the operations of residency/fellowship training program(s). Their primary focus is the organization and oversight of the daily operations of the residency/fellowship program(s). They will assist the Program Director in ensuring that the program(s) maintains full compliance with all internal and external policies, procedures, regulations, requirements, and accreditation standards. The Program Coordinator - GME is a resource for the Program Director, faculty, residents/fellows, and medical students.

Essential Job Functions & Accountabilities:

  • Manages administrative functions of the GME training program(s), assisting the Program Director to ensure compliance with current accreditation standards and requirements including preparation of annual program evaluation/action plan, milestones, resident/faculty surveys, program evaluation and clinical competency committees, and accreditation data system updates.

  • Manages and provides administrative support for regulatory/accreditation site visits and associated preparation.

  • Provides program-level administrative support for onboarding, orientation, and graduation.

  • Assists in the development and implementation of new systems, administrative policies, and educational strategies for the assigned program(s).

  • Assists the Program Director and faculty in coordinating resident/fellow activities by developing schedules, reviewing prerequisites for rotations, on-call coverage, sequencing and specific needs of rotations, and number of residents on a rotation.

  • Collaborates with the Academic Affairs office regarding recruitment activities for the program(s), coordinating applicant screening, developing recruitment materials, updating externally facing website content, scheduling residency/fellowship applicants, and coordinating aspects of interview days.

  • Collaborates with the Academic Affairs Office and external training sites to ensure that all residents/fellows have proper state licensure and appropriate onboarding requirements in place prior to all rotations.

  • Helps develop, maintain, and monitor didactic schedules for residents/fellows. Organizes and manages program learning activities and administrative conferences. Ensures appropriate documentation of training experience for compliance with accreditation requirements.

  • Provides support for applying program and institutional policies as required by accreditation and regulatory requirements.

  • Maintains all program documentation and databases consistent with accreditation and regulatory requirements.

  • Collaborates with Academic Affairs to track and manage resident/fellow compliance with organizational, accrediation, regulatory, and specialty board requirements (ex. eLearning modules, immunization records, EHR inbasket tasks, life support certification, case logs, work hours, days away from program).

  • Attends all monthly program coordinator meetings and Academic Affairs educational offerings.

  • Participates in GME program reviews and serves on a GME subcommittee to assist with developing and implementing best practices.

  • Oversees the residency/fellowship program budgets. Analyzes operational expenses, establishes best practices, and develops budget request to support new initiatives.

  • Verifies trainees’ status and activities as needed.

Qualifications:


    Required Qualifications:
  • High school diploma, GED or equivalent.
  • Two (2) plus years of related healthcare, business, or education program experience.
  • Preferred Qualifications:
  • Associate’s or Bachelor’s Degree in Education, Business, Human Resources, or Healthcare.
  • Administration, from an accredited program OR equivalent years of relevant experience.
  • Experience with budgetary and financial processes.
  • Knowledge and understanding of graduate medical education accreditation and regulatory requirements.
