POSITION SUMMARY:

The Vital Village Community Engagement Network is a collective impact initiative to improve child well-being and prevent abuse and neglect involving three neighborhoods in Boston. The central goal of the Vital Village Network is to seed sustainable and scalable community change around child protection by mobilizing a collective investment from residents, community organizations (CBOs) and institutions using a strengths-based and trauma-informed paradigm.

The Program Associate will be a member of the BMC Vital Village Network interdisciplinary team serving as working with CBOs, community champions, and institutions. The Program Associate will play a key role in sustaining the collaborative network, overseeing network programs, and supporting the backbone functions of the Network and supervise part time staff and interns.

A key responsibility will managing the Social Emotional and Trauma Informed partnerships, programmatic work and team. In this role, you will develop and support with network communications with Network members across digital platforms, systems development for internal and external purposes, and increasing access to programs for Network families and members. Also responsible for Event Coordination: planning for meetings, webinars, and conferences, and supporting financial management, booking, and scheduling activities related to programmatic work and partnerships. We seek an experienced project associate with well-developed time management, project organization, and communications skills.

ESSENTIAL RESPONSIBILITIES / DUTIES:

Network responsibilities:
  • Overseeing and supporting program manager/director with network projects and functions including but not limited to: Network communications, social emotional learning, caregiver and parent leadership and civic service, and mental health wellbeing.
  • Support program manager/director with strategic planning of social emotional learning and trauma informed partnerships and programmatic work.
  • Build and sustain relationships with local Boston partners, organizations and stakeholders
  • Extensive correspondence and communication with partners, including regular technical assistance meetings, video conferences.
  • Assist with tracking and monitoring progress of community coalitions.
  • Assists with coordinating network-wide use of improvement strategies including: iterative learning cycles, local development and execution of action plans, and the use of metrics and narrative to track progress.
  • Tracking of existing and new partnership within database management systems.

Meeting and Event Coordination and Documentation
  • Planning and facilitating/co-facilitating team and partner meeting scheduling and documentation, including notetaking, invitations, and meeting/video conferencing and technology tools.
  • Support the planning of workshops, conferences, and meetings.
  • Assist with financial management activities and bookings related to events (e.g. consultant contracts and vendor set-up).
  • Supports upkeep of project management and file organization tools, including Basecamp and Google Drive systems

Communications responsibilities:
  • Lead regular communication with Vital Village Network staff, community partners, CBOs, stakeholders, and residents (including calls, emails, blogs, and newsletters) regarding Network activities
  • Support regular communications engagement activities in collaboration with Vital Village staff through the organization's various social media and communications platforms (Twitter, Facebook, Constant Contact, etc) to best communicate the Vital Village Network mission and activities and provide timely information to Network members and future partners
  • Schedule and facilitate key partner meetings with Vital Village Network staff and members to ensure needs are met and there is timely follow up

Program finances management:
  • Support the financial reimbursement and tracking of expenses for Network director and related projects
  • Provide development assistance to manager/director to ensure Network sustainability, activities include systems development, grant reports, and evaluation efforts.
  • Utilizes hospital's values as the basis for decision making and to facilitate the division's hospital mission

  • Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care may be provided

JOB REQUIREMENTS

EDUCATION:
  • Bachelor's degree required. A Master's Degree in Public Health, Education, Journalism, Management, Urban Studies, or Policy preferred.

EXPERIENCE:
  • Minimum of 4 years of experience with project management, coordinating events (planning conferences, workshops, meetings), providing executive support for financial administration, and communications (including blogs, emails, e-newsletters, and briefs).

KNOWLEDGE AND SKILLS:
  • Strong interpersonal skills, adaptability, growth mindset.
  • Detail-oriented, ability to manage complex timelines, well-organized coordination and communication strategies.
  • Excellent communication skills (oral and written) using English-language.
  • Strong writing ability and experience writing newsletters, blogs, group communications, reports
  • Working knowledge of enterprise tools (MS Office applications, Slack, Asana, Basecamp) and video conferencing software (WebEx, GoToMeeting).
  • Cultural sensitivity and willingness to work in racially, ethnically, and socioeconomically diverse communities
  • Passionate about the vision to build the capacity of communities to promote child wellbeing and improve equity in child health and educational outcomes.
  • Knowledge of social determinants of health, including the role of neighborhoods and the impact of childhood adversities on health and development over the life course.

SPECIAL WORKING CONDITIONS (Responsible for on-call, 24 hr. coverage, etc.):
  • Flexible to work evenings and weekends when required.
  • Travel within the United States may be required for this role.
