The Office of the Dean at West Virginia University Libraries in partnership with the West Virginia University Humanities Center is seeking applications for a Program Assistant. The position provides general administrative duties with a focus on event and program support for both units.

SHIFT- 9am- 5pm


What you'll do:
  • Receive and greet office visitors and directs them as needed.
  • Respond to queries via telephone and email, forward to appropriate staff or take messages as needed.
  • Perform basic office duties with moderate degree of independence, including managing calendars, files, meeting minutes, etc.
  • Provide support in event planning and management by maintaining expenses and schedules; placing catering and facilities orders; coordinating travel, lodging, and related reimbursements; and assisting with event promotion, and set-up and tear down.
  • Maintain records of invoices/receipts for use in various WVU financial software such as MyExpenses, Mountaineer Marketplace, etc.
  • Serve as backup for mailroom duties and library deposits.

Qualifications
  • Associate’s degree in a relevant field (Communications, Humanities, Business, or similar) OR equivalent combination of education and experience.
  • Computer software experience with Microsoft Suite/ 365, including Outlook, Word, EXCEL, and PowerPoint
  • 6-12 months experience preferred in one or more of the following:
    • Customer Service
    • General Office Experience
    • Event planning and promotion
  • Strong interpersonal and customer services skills
  • Excellent written communication skills, and attention to detail
  • Ability to work with sensitive information and adhere to confidentiality standards
  • Ability to make decisions, interpret and apply policies; work with established procedures and follow directions
  • Ability to work independently and as a team is required
  • Willingness to learn and use new technology on a regular basis
