About the Department
The Office of Professional Development (OPD) within Continuing and Professional Education (CPE) reports to the Vice Provost for the NC State Continuing and Lifelong Education (NCSCaLE). OPD is the administrative unit within North Carolina State University with campus-wide and in-house training programs. It is the mission of OPD to develop and present viable continuing education and professional development programs to the business, industrial and governmental communities, professional organizations, and the general public, according to the identified needs and demands of a changing workforce. The OPD staff are located within the McKimmon Conference and Training Center, which provides meeting space and equipment. In conjunction with faculty and academic units, OPD assesses training needs, designs and develops programs and in partnership with the academic units, delivers programs in the McKimmon Center and other locations in North Carolina and nationwide.

Essential Job Duties

The position is a customer-oriented focus that strives for excellence. The Program Assistant (PA) assists in the planning, organizing, and implementation of registration activities associated with approved programs and events after a program has been approved and a supervisor has established the budgetary and operational parameters.

These responsibilities begin with supervising and conducting the pre-registration process, carry through conducting the on-site registration, and are completed with the preparation of revenue reconciliation, operating cost, and statistical data for the supervisor. Successful initiatives include pursuing payment of outstanding invoices impacted directly on the program’s financial success and developing the registration sites based on the customer’s requirements.
The PA handles multiple programs simultaneously, all in different stages of their development, and spread across a variety of industry specialties. The PA must demonstrate outstanding public relations and time management skills, cost control acumen, proficiency in a wide range of computer software programs, and a basic familiarity with industry-specific terminologies.

Other Responsibilities
  • Creating name tags, tent cards, assembling binders, creating certificates, and obtaining and distributing course materials.
  • Attend client/staff/planning meetings; may participate on program committees.

Qualifications

Minimum Experience/Education
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Other Required Qualifications
  • A high degree of initiative and the aptitude to work independently.
  • Thorough knowledge of program procedures and practices.
  • Excellent oral communication and composition skills, and a high comfort level in dealing directly with people across a wide spectrum of career fields and intellectual acumen.
  • Ability to grasp the impact of operating costs on the program’s profit margin and viability.
  • Strong multi-tasking, prioritizing, and organizational skills necessary to plan and implement a high volume of registrations for meetings and conferences.
  • Ability and willingness to adapt to work schedule changes.
  • Ability to exercise good judgment in resolving problems and making decisions based on an analytical assessment of program content, University or departmental policies, or own mature discretion.
  • Ability to work quickly with outstanding attention to the accuracy of details.
  • High level of computer literacy
  • Willingness and ability to stand for extended periods and to lift bulky materials.

Preferred Qualifications
  • Associate’s degree or Bachelor’s in a related field.
  • Previous experience in event planning and coordination.
  • Previous experience in a registration database
