Ambitions of Washington has been supporting people with developmental disabilities in their own homes (aka Supported Living Program) since 1992. We are seeking a Program Assistant position for our King County office. The Program Assistant is a pivotal non-exempt position whose primary responsibilities includes administration, human resources, accounting, and overall program instruction and training support. This position requires you to think on your feet as you may be required to respond to an emergency and other care needs on a day-to-day or an on-call basis. The Program Assistant reports to the Program Supervisor.

Accounting – Client & Payroll

- Conduct, support and supervise client support and operations in accordance with the established policies and procedures of the Ambitions in compliance with federal, state, and local regulations.

- Protect clients from abuse, neglect, and financial exploitation as a mandatory reporter.

- Renewal and application of client benefits through government and state agencies, including benefits and reconcile client payee account monthly.

- Monthly settlement of client bank accounts, cash accounts and EBT accounts.

- Quarterly reconciliation of client trust statements.

- Collaborate with the Corporate Accounting Departments.

- Assist in processing payroll by entering W-4 forms, apply PTO balances, calculating OT hours, identify and resolve discrepancies, entry hours in QuickBooks, and review employees who were not paid.

- Prepare and perform in the Residential Service Care audits and DDA quality assurance reviews.

- Overseeing, reconcile, and keep all documentation/receipts for petty cash.

Training & Office Management

- Efficiently and courteously direct incoming callers and all visitors.

- Organize, direct, and assist in the delivery of Instruction and Support Services.

- Receive, sort, and distribute the mail in an accurate and timely manner.

- Monitor employee’s 1163 training, continuing education credits, expiring right to work documentation, WA state driver’s license, and auto insurance expiration to ensure they are current/compliance.

- First six months – make sure staff receives a minimum of 32 hours of training.

- Maintain and update current policies, procedures, and forms as needed.

- Serve as a liaison with office landlord, organizing repairs, service, and maintenance.

- Able to meet investigative agents (CRU/DDA) and provide needed documents and necessary follow-up.

- Keep needed supplies and equipment for program use.

- Train, troubleshoot, and work with IT to ensure efficient operation of all office computers, scanners, printers, phone systems, etc.

- Ensure all agency vehicles are clean, properly maintained, and in safe operating condition always.

Human Resources

- Assist in the recruitment, screenings, including updating job descriptions, posting open positions, on-boarding of new employees, and enrollment in benefits.

- Submit background screening, employment status changes, performance evaluations, and terminations.

- Conduct first day of NEO, including collecting all new paperwork and completion of the I-9 Form.

- Provide accurate answers for all Human Resources related questions, and when needed locate an answer in a timely manner.

- Working knowledge of labor laws, Ambitions benefit package, and can explain, enroll, update, and terminate employees as needed.

- Ability to demonstrate a clear understanding of company policies and procedures, including WAC, DDA policies and guidelines.

- Review, prepare, submit to Corporate HR for approval, and submit all unemployment claims before deadline published on the form and appeal any decisions, as needed.

- Preserve client and employee files in accordance with all federal, state and agency policies while secured.

- Willingness to take on additional responsibilities as well as acceptance and implementation of new processes, practices, and procedures.

Basic job qualifications for the Program Assistant position are as follows:

· Must be 21 years or older at time of hire.

· A minimum of a High School Diploma or GED.

· A valid Washington State Driver’s License and auto insurance.

· A personal vehicle to use on occasion for work purposes (mileage reimbursement available).

· Ability to be assertive and handle conflict with confidence and authority.

· An ability to pass a fingerprint based criminal background check.

· Strong knowledge regarding computers, reporting, including Microsoft Suites.

· Maintain a high attention to detail and ability to maintain accuracy.

· Ability to prioritize, manage deadlines, follow up and follow-through with all tasks to completion.

· Appropriate use of discretion, diplomacy, and confidentiality in all employee matters.

· Related job experience, continuous training will be provided to the right candidate.

· Ability to be professional and always maintain confidentiality.
