Overview:
McGuireWoods LLP has an opening for an in-office Practice Assistant/Legal Secretary to support our corporate and litigation practice areas in our Charlottesville, VA office. The Assistant will support partners and associates with legal and administrative tasks which include managing or submitting e-files, calendaring, time entry/billing, travel arrangements, meeting/conference scheduling and other special projects. The ideal candidate will have two to five years of experience supporting in a busy environment.

Responsibilities:
  • Prepares legal documents and correspondence
  • Manages attorneys’ calendars, coordinates meetings, schedules conference rooms, and makes travel arrangements as required
  • Maintains client and firm files; opens and closes files according to Records Department procedures
  • Opens, prioritizes and distributes mail. Coordinates mailings, deliveries, copying and courthouse filings
  • Establishes and maintains relationships with firm administration and other departments to ensure the effective use of firm resources; resolves problems and addresses issues
  • Assumes responsibility for all assignments and engages other resources. Provides quality control on all work done with specific attention to detail and proofreading
  • Participates as part of a team providing coverage and/or backup coverage for multiple attorneys
  • Uses initiative to coordinate complex administrative, marketing, business development and legal support duties
  • Demonstrates a thorough understanding of the content of attorneys’ matters as well as their client’s business/organization
  • Identifies opportunities to improve processes (e.g., through technology, better workflow, etc.) in ways that help attorneys focus more on billable client work and less on non-billable administrative tasks
  • Demonstrates the knowledge and ability to conduct advanced internet searches (practice-area specific, industry and client research, contracts, etc.)
  • Assisting occasionally on billable-type work and other department duties as needed
Qualifications:
  • Requires high school diploma or GED and two or more years of related legal experience or an equivalent combination of education and experience
  • Must be proficient with Microsoft products, such as Word, Outlook, Office and document management software, such as FileSite
  • Knowledge of Elite/DTE (or other comparable time and billing software) is a plus
  • Preferred experience in e-filing, time entry and billing software (Elite), and expense reimbursement software (ChromeRiver)
  • Must have strong attention to detail, possess proofreading skills, and have e-mail management abilities
  • Requires strong multitasking skills and the ability to thrive in a fast-paced environment
  • Excellent planning and organizational skills
  • Professional demeanor and detail orientated
  • Excellent communication skills
