Personnel Security and Suitability Assistant

In support of the National Science Foundation Personnel Security Program, this position provides administrative and basic technical support to NSF adjudicators and answers routine questions from customers regarding the status of cases and outstanding information a consistent with established procedures, protocols, and policy.

Tasks and Responsibilities:

  • Collect relevant forms, review for completeness, file, and update relevant logs. If forms are not complete, sends email follow-up with subject regarding needed information. (Escalates cases where subjects are non-responsive to follow-ups.)

  • Provides routine reports regarding reinvestigations needed, and sends subjects standardized messages to begin process.

  • Opens mail and files incoming documents appropriately. Adds final investigations received to adjudication log.

  • Assists in sending outgoing mail as needed to entities such as OPM, onboarding individuals, etc. Provides other administrative support as needed for personnel security and suitability function.

  • Updates relevant logs consistent with standard operating procedures (in particular SharePoint site and personnel security log, in addition to others as needed).

  • Breaks down closed cases after final adjudications and stores applicable documents accordingly

  • Interfaces with customers to answer routine questions regarding the general process prescribed in the contractor onboarding guide, status of cases and outstanding information, and the completions of forms in e-QIP a consistent with established procedures, protocols, and policy.

  • As needed, looks up and provides readily available information in systems on specific individuals for auditing purposes or for review in connection with customer complaints.

Provides Basic Data to Federal Adjudicators to Make Reciprocity Determination

  • Look up subjects in the Central Verification System to see if they have had a previous investigation and annotate what type and when the investigation/ adjudication was completed.

When Reciprocity Does Not Apply, Provides Access to e- QIP forms to Subjects

  • Electronically initiate requests for background investigations at levels consistent with available position designation records (e.g., NACI (Tier I) or MBI (Tier II)).

  • Send email notification to subjects including access to e-QIP for the completion of forms.

  • Scan and upload the various forms necessary for on-boarding and reinvestigations into e-QIP.


Qualifications:
  • Organizational skills
  • Customer service skills (including strong communication skills)
  • Experience using standard government systems: e-QIP, PIPS. (To update and maintain electronic records, spreadsheets, and generate periodic reports.)
  • Familiarity with standard government forms needed for suitability/ security determinations.
  • Excellent written communication skills and computer skills to include proficiency in Word, Excel, Spreadsheet, etc.
  • Detail-oriented and able to handle high volumes of work timely.
